Where Fitness Contacts Accumulate

Fitness coaches, personal trainers and gym owners collect client contact information across many tools and file types over time:

  • Booking and scheduling platform exports (CSV or XLSX).
  • Liability waivers and intake forms (PDF or DOCX).
  • Gym management software exports (CSV, XLSX or JSON).
  • Email threads with clients and prospects (EML or MSG).
  • Workshop and challenge sign-up spreadsheets (CSV or XLSX).
  • Business cards from networking events (VCF files).
  • Social media lead exports (CSV).
  • Referral tracking spreadsheets (XLSX or ODS).

When these contacts are not consolidated in a single system, extracting email addresses from the source files is a practical way to build a complete client and prospect list.

Common Use Cases

Consolidating client contacts

Many fitness professionals use one platform for scheduling (like Mindbody, Acuity or Calendly), another for payments, and a spreadsheet or notebook for tracking client progress. Email addresses end up in each of these systems separately.

To build a single client list:

  1. Export data from each system. Most booking and management platforms offer CSV or XLSX exports.
  2. Gather any intake forms, waivers or correspondence files that contain client email addresses.
  3. Go to Email Extractor.
  4. Select "Text and files."
  5. Upload all files.
  6. Click "Extract emails."

Email Extractor removes duplicate addresses using case-insensitive matching. If the same client appears in your scheduling export, payment records and a waiver form, their address shows up once in the results.

Re-engagement campaigns

Fitness businesses often have past clients who stopped booking sessions. Their contact information still exists in old booking exports, expired membership lists or archived correspondence. Extracting from these older files produces a list of lapsed clients you can reach out to with re-engagement offers.

Before sending, validate the addresses through an email validation service. Addresses from clients who left months or years ago may no longer be active. Email Extractor does not validate whether addresses are deliverable. See Email list decay explained.

Workshop and challenge promotion

Group fitness challenges, nutrition workshops and boot camps generate their own sign-up data. If you have run several events over time, sign-up lists from past events can inform promotion for future ones.

Extract from all past event sign-up files to build a list of people who have previously shown interest in your events. Deduplicate and cross-reference against your current client list to identify past participants who are not currently active.

Moving between platforms

When switching from one booking or gym management platform to another, the export from the old system may not import cleanly into the new one. Building a newsletter list

Many fitness professionals maintain an email newsletter for workout tips, nutrition advice or programme announcements. If you want to invite existing clients and past contacts to subscribe, extracting from your accumulated files gives you a starting list to work from.

This is an invitation to subscribe, not automatic enrolment. Adding people to a marketing list without their consent can violate CAN-SPAM requirements and damage trust with clients.

Working with Fitness Industry Files

Booking and scheduling exports

Platforms like Mindbody, Acuity Scheduling, Vagaro and Calendly export appointment and client data as CSV or XLSX files. These exports typically include names, email addresses, phone numbers, appointment dates and package information.

Waivers and intake forms

Liability waivers and fitness intake questionnaires are often collected as PDF forms (either digitally signed or printed and scanned). Email Extractor reads text from digitally created PDFs. Scanned paper forms need OCR processing first. See Extract emails from PDF files.

Gym management software exports

Larger operations using platforms like Pike13, Glofox or PushPress can export member data as CSV, XLSX or sometimes JSON. Extract from these exports the same way as any spreadsheet or data file.

Privacy and Compliance

Fitness professionals handle client health and personal information. When extracting and using email addresses:

Intended purpose. Clients provide their email for appointment confirmations and service-related communications. Using it for marketing requires separate consideration under applicable laws.

CAN-SPAM. If you send commercial emails (promoting services, classes or products) to US recipients, include an unsubscribe mechanism and honour opt-out requests. See CAN-SPAM and extracted email lists.

GDPR. If any of your clients are in the EU or EEA, GDPR applies. See GDPR and email extraction.

Local processing. Email Extractor processes files in your browser. However, history can store result lists locally, so take care on shared devices.

Suppression list. Maintain a suppression list of people who have opted out, and check every extracted list against it before sending.

Tips for Fitness Workflows

Extract by client status. Process active client files separately from lapsed client files. This gives you distinct lists for retention communications (active clients) and re-engagement campaigns (lapsed clients).

Keep source records. The CSV with sources download records which file each address came from. This is useful if a client asks how you have their contact information or if you need to trace an address back to a specific intake form or booking.

Validate older lists. Client turnover in fitness is common. Addresses from clients who stopped training a year ago may no longer work. Validate before sending to avoid bounces that could hurt your sender reputation.

Format for your email platform. If you use Mailchimp, ConvertKit, or another email marketing tool, format the extracted list for import. See How to format your email list for a CRM.
