Where Veterinary Client Contacts Accumulate
Veterinary clinics and animal hospitals manage client (pet owner) contact information across multiple systems and file types:
- Patient intake forms and registration documents (PDF or DOCX).
- Practice management software exports (CSV, XLSX or ODS).
- Appointment scheduling exports (CSV or XLSX).
- Lab result correspondence and referral letters (PDF or EML).
- Invoices and billing records (PDF or XLSX).
- Vaccination and wellness reminder lists (CSV or XLSX).
- Email threads with clients and suppliers (EML or MSG files).
- Pharmaceutical and supply vendor contacts (PDF contracts or invoices).
When these contacts are not centralised in a single up-to-date system, email extraction consolidates addresses from the source files.
Common Use Cases
Building a client communication list
Veterinary practices need to reach clients for appointment reminders, vaccination due dates, clinic announcements, emergency notifications and seasonal health advisories. If your practice management software does not maintain a complete or current email list, extraction fills the gaps.
- Export client data from your practice management system (most systems offer CSV or XLSX exports).
- Gather any intake forms, registration documents and saved correspondence that contain client email addresses.
- Go to Email Extractor.
- Select "Text and files."
- Upload the files.
- Click "Extract emails."
The tool removes duplicate addresses automatically using case-insensitive matching. Download as CSV with sources to see which file each address came from.
Practice acquisition or merger
When one veterinary practice acquires or merges with another, client records often arrive as a collection of files rather than a clean database transfer. The acquired practice may have used a different management system, or may have kept records in spreadsheets, paper files (scanned to PDF) or a mix of formats.
Extracting from all available files produces a starting list of client email addresses to import into the combined practice's system.
Wellness and vaccination reminders
Many practices send reminders when pets are due for vaccinations, dental cleanings or annual wellness exams. If your management system generates a report of upcoming due dates as a spreadsheet or PDF, extracting the email addresses from that report gives you a targeted list for reminders.
Re-engagement outreach
Clients who have not visited in over a year still have records in your system. Extracting from older appointment exports or client lists identifies lapsed clients you can reach out to for wellness check reminders.

Supplier and vendor contacts
Veterinary clinics work with pharmaceutical distributors, laboratory services, equipment suppliers and specialty referral practices. Extracting from invoices (PDF), contracts (DOCX) and correspondence (EML or MSG) builds a consolidated vendor contact list.
Working with Practice Management Exports
Most veterinary practice management systems (Avimark, Cornerstone, eVetPractice, NaVetor and others) export client data as CSV or XLSX files. These exports typically include client names, email addresses, phone numbers, pet names and other fields in a tabular format.
Email Extractor scans all cell values and finds email addresses regardless of which column they are in. The output is email addresses only; client names, pet names and other associated fields are not preserved as separate columns.

Intake forms
Client registration and intake forms collected as PDF or DOCX files contain the email address provided during the first visit. Email Extractor reads text from these files. Scanned paper forms require OCR processing first, as the tool does not include built-in OCR. See Extract emails from PDF files.
Lab and referral correspondence
Laboratory results and referral letters exchanged between general practices and specialists may contain email addresses for referring veterinarians and pet owners. These arrive as PDF reports or email attachments (EML or MSG).
Privacy Considerations
Veterinary client records contain personal information about pet owners. While veterinary practices are not subject to the same health privacy regulations as human medical practices in most jurisdictions, general privacy laws and professional obligations apply:
Client data policies. Follow your practice's data handling policies when extracting and storing client email addresses. Maintain records of where you obtained each address and for what purpose.
Consent for marketing. Clients provide their email address for practice-related communications like appointment confirmations and reminders. Sending marketing content (promoting services, products or events) may require separate consent depending on your jurisdiction.
CAN-SPAM. Commercial emails to US recipients must include an unsubscribe mechanism. See CAN-SPAM and extracted email lists.
Local processing. Email Extractor processes files in your browser, not on a remote server. However, history can store result lists locally in the browser. Clear browser data after extraction if you are working on a shared computer in the clinic.
Suppression list. Maintain a suppression list of clients who have opted out of non-essential communications. Check extracted lists against it before sending.
Tips for Veterinary Workflows
Extract by purpose. Process files for appointment reminders separately from marketing outreach files. This keeps your lists aligned with specific communication types and helps ensure appropriate consent for each use.
Track provenance. The CSV with sources download records which file each address came from. This is useful if a client asks how you have their email or if you need to verify the source of a contact.
Update regularly. Client contact information changes. Re-extract from updated practice management exports periodically to keep your list current rather than relying on a list that is months old.
Validate before bulk sending. Run extracted lists through a validation service before sending reminders or announcements to large numbers of clients. Email Extractor does not validate addresses. Invalid addresses increase your bounce rate and can affect your sender reputation.
