Why Eye Care Is Perfectly Suited for Email Marketing
Optometry has a built-in email marketing advantage that most other healthcare practices lack: a predictable, recurring service interval. Healthy adults should have an eye exam every one to two years. Contact lens wearers need annual exams to renew their prescriptions. Children should be screened regularly as their vision changes through development. This regularity means every patient has a "next visit" that can be anticipated and prompted through email.
The economics reinforce the case for email. An average comprehensive eye exam generates $200-$400 in exam fees and often leads to additional revenue: prescription eyeglasses ($200-$600), sunglasses ($150-$400), contact lenses ($200-$500/year), and specialty services like dry eye treatment or vision therapy. A patient who comes in for their annual exam and buys a pair of glasses generates $400-$900 in revenue from a single visit. A reminder email that costs fractions of a penny to send and brings back even 10% of lapsed patients generates thousands of dollars in recovered revenue.
Vision insurance benefits add another dimension. Most vision insurance plans (VSP, EyeMed, Davis Vision, Superior Vision) provide an annual allowance for exams and eyewear. These benefits expire at the end of the plan year (typically December 31 for calendar-year plans, though some employer plans run on fiscal years). Patients who do not use their vision benefits lose them -- there is no rollover. This creates a natural deadline that email can leverage.
Annual Exam Reminders
The annual exam reminder is the single highest-ROI email an optometry practice sends. It targets patients who are due for their annual or biennial exam and prompts them to schedule before they forget or before their insurance benefits expire.
"Hi [Name], it has been about [12/24] months since your last eye exam at [Practice Name]. Regular eye exams are important not only for updating your prescription but also for detecting conditions like glaucoma, macular degeneration, and diabetic retinopathy early, when treatment is most effective.
[If insurance information is on file:] Your [insurance plan] vision benefits include a covered eye exam this year. If you have not used your exam benefit yet, scheduling soon ensures you take full advantage of your coverage before your plan year ends.
Schedule your exam online: [link]. Or call us at [number] -- we have availability [mention days/times with openings to reduce scheduling friction]."
Send this reminder 11 months after the patient's last exam (for annual patients) or 23 months after (for biennial patients). This timing gives the patient a full month to schedule before they hit the anniversary date, and the reminder lands while the patient's insurance benefits are still active.
For practices with a large patient base, batch these reminders monthly: patients whose last exam was in November of last year get their reminder in October of this year. This distributes appointment demand evenly rather than creating a crush of scheduling requests all at once.
Vision Insurance Benefit Expiration Campaigns
The most time-sensitive email campaign for optometry practices runs in October through December, reminding patients to use their vision insurance benefits before year-end expiration.
October email: "Your vision benefits expire soon. Most vision insurance plans reset on January 1, which means any unused benefits for eye exams, glasses, or contacts will not carry over to next year. If you have not had an eye exam this year or are due for new glasses or contacts, now is the time to schedule. Our holiday season fills up quickly, so booking in October or November gives you the best selection of appointment times. Schedule: [link]."
November email (to patients who did not respond to October): "Reminder: your [insurance plan] vision benefits expire on [date, usually December 31]. You have [exam benefit / $X frame allowance / $X contact lens allowance] remaining this year. December appointments are limited, so we recommend scheduling this month. Book your appointment: [link]."
Early December email (final reminder to non-responders): "Last chance to use your vision benefits this year. We have limited availability remaining in December. Your unused benefits expire on [date] and cannot be applied to next year. Same-week and next-week appointments may still be available: [link] or call [number]."
This three-email sequence works because it escalates urgency as the deadline approaches. The October email plants awareness. The November email adds specificity (your specific benefits, the specific dollar amounts). The December email creates final urgency (last chance, limited availability).
Contact Lens Reorder Campaigns
Contact lens wearers are high-value patients because they purchase consumable products on a recurring basis. A patient who buys a year's supply of daily contact lenses spends $400-$700 annually on lenses alone, in addition to exam fees. Retaining contact lens patients is financially critical.
Contact lens prescriptions expire annually in most states (some allow two-year prescriptions). When the prescription expires, the patient cannot legally purchase new lenses without an updated exam. This creates a natural re-engagement trigger: the prescription expiration date.
"Hi [Name], your contact lens prescription expires on [date]. After this date, we will not be able to dispense or authorize refills of your current lenses without an updated eye exam. To avoid any interruption in your lens supply, schedule your contact lens exam before your prescription expires: [link]. During the exam, we will also check for any changes to your prescription and discuss whether newer lens options might improve your comfort or vision -- contact lens technology improves every year, and there may be options available now that were not when your current prescription was written."
For patients who buy lenses through the practice (rather than through online retailers), track their purchase history and send reorder reminders based on their typical usage pattern. A patient who buys a six-month supply and purchased last in March is likely running low in September.
New Eyewear and Trunk Show Events
Optical retail (selling glasses) is a significant revenue stream for most optometry practices. New frame collection announcements and trunk show events drive patients into the practice for non-exam visits, generating optical sales revenue.
"[Practice Name] is hosting a [Brand] trunk show on [date] from [time]. A [Brand] representative will be here with the complete [season/year] collection, including styles not available in our regular inventory. Trunk show specials: [specific offer -- 20% off frames, free premium lenses with frame purchase, complimentary adjustments]. This event is open to all patients, and you do not need a current prescription to browse and try on frames. If you do have a current prescription, we can fit your new frames on the spot. RSVP or let us know you are interested: [link]."
Trunk shows work as email campaigns because they are events with a specific date, creating urgency (if you do not come on this day, the special collection leaves). They give existing patients a reason to visit the practice between annual exams. And they generate optical sales without requiring an exam visit, turning the practice's optical department into a retail destination.
Building Your Patient Email List
Patient email addresses come from patient intake forms (every new patient should provide an email address), EHR/practice management systems (most optometry-specific systems -- Crystal PM, RevolutionEHR, Compulink, Officemate -- store patient email addresses), and insurance eligibility databases (for practices that verify insurance electronically, patient demographic data including email may be available).
Export the patient list from your EHR or practice management system. Upload to Email Extractor to deduplicate (patients who appear in both old and new systems after a practice management transition, family members with shared email addresses). Verify the deduplicated list to remove invalid addresses before launching campaigns.
