The Database That Moves at Highway Speed
Commercial fleet operations generate an unusual amount of contact data churn. Drivers are hired and terminated at rates that dwarf most industries -- the American Trucking Associations reports annual driver turnover rates of 70-90% at large truckload carriers, meaning that the driver roster effectively replaces itself every 12-18 months. Fleet managers transfer between branches, get promoted, or leave the company. Vehicles are acquired, reassigned between locations, and disposed of. Maintenance vendors are added and dropped. Insurance policies are renewed with different brokers. Fuel card programs are restructured.
Every one of these changes invalidates contact data somewhere in the fleet management ecosystem. The fleet management system (TMT Fleet Maintenance, Dossier, RTA Fleet Management, Fleetio, or similar) holds driver records with email addresses that were current when the driver was hired. The telematics platform (Samsara, Geotab, Verizon Connect) holds user accounts for drivers and managers who may no longer be with the company. The fuel card system holds administrator contacts who may have transferred to a different role. The insurance file holds agent and broker contacts who may have moved to a different agency.
The consequence of unverified contact data in fleet management is not just marketing inefficiency -- it is operational and compliance risk. A DOT drug and alcohol testing notification that goes to an outdated email address means a driver misses a required test, which is a federal violation. A safety bulletin about a vehicle recall that goes to a former fleet manager means the recall is not acted upon. An insurance certificate request that goes to a former broker means the certificate is not issued, and the fleet operates without proof of insurance.
Fleet Manager Contact Verification Across Multi-Location Operations
Companies that operate vehicle fleets across multiple locations -- regional delivery companies, national trucking carriers, construction companies with equipment at multiple job sites, utility companies with service territories covering dozens of service centers -- face a particular challenge with fleet manager contact accuracy. Fleet management responsibility may be assigned differently at each location: one branch may have a dedicated fleet manager, another may assign fleet responsibility to the branch operations manager, and a third may rely on a regional fleet coordinator who oversees several branches.
When fleet responsibility changes at a location -- the branch manager leaves, the fleet coordinator is reassigned, the company restructures its fleet management hierarchy -- the contact data in every system that references that location's fleet contact becomes outdated. The telematics platform still sends alerts to the former contact. The fuel card system still sends exception reports to the former contact. The maintenance management system still routes work order approvals to the former contact. Parts vendors and maintenance shops still email quotes and invoices to the former contact.
Export the fleet manager contact list from your fleet management system and from each platform that communicates with fleet managers (telematics, fuel cards, maintenance management, insurance). Upload to Email Extractor to extract and cross-reference email addresses across all systems. Identify addresses that appear in one system but not others (which may indicate an outdated address in one system), addresses that bounce or are undeliverable (which indicate contacts who have left the company or changed roles), and addresses that appear with conflicting names or titles (which may indicate that fleet responsibility has transferred but the contact data was not consistently updated across all systems).
Driver Communication Email Verification
Fleet operators communicate with drivers by email for a growing range of compliance, safety, and operational purposes: FMCSA drug and alcohol testing notifications (random selection notices, return-to-duty notices, pre-employment testing instructions), CDL renewal and medical certificate reminders (CDL holders must renew their commercial driver's license and maintain a current DOT medical certificate), hours-of-service policy updates (when HOS rules change or when the company updates its HOS policies, drivers must be notified), vehicle recall and safety bulletins (when a vehicle in the fleet is subject to a manufacturer recall, the assigned driver must be notified), company policy updates (changes to accident reporting procedures, fuel card policies, personal use policies, and other fleet policies).
The driver turnover rate means that driver email addresses go stale rapidly. A driver who was hired six months ago and given a company email address may have already left the company. The email address may still appear in the fleet management system, the telematics platform, and the fuel card system as an active driver. Communications sent to this address are not being read, and the replacement driver may not be receiving the communications at all because the systems still reference the departed driver's email.
Export the complete driver roster from your fleet management system, including each driver's name, employee ID, assigned vehicle, location, hire date, and email address. Upload to Email Extractor for extraction and deduplication. Cross-reference against HR's current employee roster to identify drivers who have separated from the company but whose records remain active in fleet systems. For each separated driver, deactivate the fleet system record and ensure the replacement driver's current email address is entered in all fleet platforms.
Telematics Platform User Record Cleanup
Telematics platforms accumulate inactive user accounts over time as drivers leave the company, vehicles are decommissioned, and fleet managers transfer to other roles. These inactive accounts clutter the platform's user interface, generate unnecessary alert emails to invalid addresses, and can create security risks if former employees' login credentials remain active.
Most telematics platforms (Samsara, Geotab, Verizon Connect, GPS Trackit, Azuga, CalAmp) allow administrators to export a user list that includes the user's name, email address, role (driver, fleet manager, administrator), last login date, and assigned vehicle or vehicle group. Export this user list and upload to Email Extractor to extract email addresses. Sort by last login date to identify users who have not logged in for 90 days or more -- these are likely former employees or users who are no longer actively using the platform. Verify each inactive account against the current employee roster and deactivate accounts for users who have separated.
For active accounts, verify that the email address on each account matches the user's current company email. Employees who have changed their name (marriage, legal name change), had their email format changed (company rebranded or changed email domain), or been assigned to a different entity within the company may have outdated email addresses on their telematics accounts.
Fuel Card and Insurance Contact Maintenance
Fuel card programs (WEX, Fleetcor/Fuelman, Comdata, EFS, Voyager) assign administrator contacts who receive account management communications: exception alerts (when a fuel transaction exceeds parameters -- wrong fuel type, excessive gallons, out-of-network purchase), monthly statements and reconciliation reports, card activation and deactivation confirmations, and fraud alerts. When the administrator contact changes (the fleet manager who set up the fuel program leaves, or fuel card administration is reassigned to a different department), these critical communications go to an inactive email address, and exception alerts that should trigger immediate investigation go unread.
Similarly, fleet insurance programs assign contacts for certificate of insurance (COI) issuance, policy renewal notices, claims correspondence, and loss control recommendations. When the risk manager or fleet safety director changes, insurance communications go to the former contact, and policy renewals, claims, and COI requests are delayed.
Export the administrator contact list from each fuel card program and the named insured contacts from each insurance policy. Upload to Email Extractor to extract and verify email addresses. Cross-reference against the current employee directory to identify contacts who have left the company or changed roles. Update each program with the current responsible contact's email address.
