How to Use LinkedIn Sales Navigator for Lead Generation: Advanced Search, Lead Lists, InMail Strategies and CRM Integration

On this page

Why Sales Navigator Exists

LinkedIn has over 900 million members, and somewhere in that network are the exact people who could buy your product or service. The problem is finding them. Free LinkedIn search is limited: restricted results, no advanced filters, no way to save searches, and aggressive throttling if you search too aggressively.

Sales Navigator is LinkedIn's premium tool that removes these limitations and adds features specifically designed for B2B sales prospecting. For $99.99/month (Core plan, billed annually) or more, you get advanced search filters that let you find decision-makers by exact title, company size, industry, geography, seniority level, and more. You get lead and account lists that track your prospects and surface updates (job changes, company news, content engagement). You get InMail credits to message people outside your network. And you get CRM integrations that sync your LinkedIn prospecting activity with your sales pipeline.

Whether Sales Navigator is worth the investment depends on your average deal size and close rate. If a single closed deal is worth $5,000 or more, and Sales Navigator helps you find even two or three additional qualified prospects per month that you would not have found otherwise, the tool pays for itself many times over. For sales teams where the average deal is $500 or less, the math is tighter and free LinkedIn search may be sufficient.

Advanced Search Fundamentals

Sales Navigator's advanced search is the core feature. It lets you search LinkedIn's entire database using filters that free LinkedIn does not offer.

Title filters let you target specific job titles. But titles are inconsistent across companies -- the person who makes technology purchasing decisions might be "CTO" at one company, "VP of Engineering" at another, "Director of IT" at a third, and "Head of Technology" at a fourth. Use Sales Navigator's boolean search to cover variations: (CTO OR "VP of Engineering" OR "Director of IT" OR "Head of Technology" OR "Chief Technology Officer").

Company size filters let you focus on companies in your target range. If your product is designed for mid-market companies (50-500 employees), filter out both small companies (where the budget may not exist) and enterprise companies (where the sales cycle is too long or the competition too established).

Industry filters narrow by LinkedIn's industry categories. These are broad (e.g., "Information Technology and Services"), so combine industry filters with title filters for precision. "VP of Marketing" in the "Food and Beverage" industry is a much more specific prospect list than either filter alone.

Geography filters target by city, state, region, or country. For local businesses (agencies, professional services, regional SaaS companies), geography is often the most important filter. For companies that sell nationally or internationally, geography helps prioritize markets.

Seniority level filters (C-suite, VP, Director, Manager, Individual Contributor) help when you know the decision-making level but not the exact title. For enterprise sales, C-suite and VP-level contacts are typically the economic buyers. For SMB sales, managers and directors often have purchasing authority.

Building Effective Lead Lists

Sales Navigator lets you save prospects as "leads" and group them into lists. A well-organized lead list system makes the difference between productive prospecting and chaotic outreach.

Organize lists by campaign, not by filter criteria. Instead of a list called "CTOs at mid-market SaaS companies," create a list called "Q4 2026 Enterprise Campaign -- Technology Decision Makers." The campaign framing keeps your prospecting tied to specific business objectives with timelines and goals, rather than becoming an open-ended collection of names.

Keep lists at manageable sizes. A lead list with 500 names is not a prospect list -- it is a database. You cannot personally research, personalize outreach for, and follow up with 500 people simultaneously. Keep active working lists to 25-50 leads that you are actively pursuing in a given week or sprint. Move leads between lists as their status changes: New (identified, not yet contacted), Contacted (initial outreach sent), Engaged (responded, in conversation), Qualified (confirmed fit, potential opportunity), and Closed/Passed (converted to customer or disqualified).

InMail Strategy

InMail is Sales Navigator's messaging feature that lets you send messages to any LinkedIn member, even if you are not connected. Each Sales Navigator plan includes a monthly allocation of InMail credits (50 per month on the Core plan). InMail messages have higher visibility than connection request messages and include a subject line, but they are also clearly labeled as InMail, which signals to the recipient that this is a sales or networking outreach.

InMail best practices for lead generation follow the same principles as cold email, with one addition: LinkedIn-specific context. You have access to the prospect's profile, their recent activity, their job history, and their content engagement. Use this context to personalize.

"Subject: [Specific reference to their work or company]

Hi [Name], I came across your [specific trigger: recent post about [topic], your presentation at [event], [Company]'s recent [announcement/milestone]]. [One sentence connecting the trigger to your offering -- not 'I sell X,' but 'we help companies that are dealing with [the challenge their trigger implies]'].

At [Your Company], we work with [relevant peer companies or comparable situations] to [specific outcome, stated in their language, not yours]. [One proof point: 'Our clients typically see [metric improvement]' or 'We recently helped [comparable company] achieve [specific result]'].

Would a 15-minute conversation make sense? I know your time is valuable, so I will be concise and direct -- and if it is not a fit, I will say so."

InMail response rates vary by industry and message quality, but well-personalized InMails typically achieve 10-25% response rates, compared to 1-5% for generic outreach.

CRM Integration

Sales Navigator integrates with major CRM platforms (Salesforce, HubSpot, Microsoft Dynamics) to sync lead data, log InMail activity, and surface LinkedIn insights within the CRM. The integration eliminates the manual work of copying prospect information from LinkedIn to your CRM and keeps your sales team working in one system rather than switching between tabs.

With the Salesforce integration (available on Advanced and Advanced Plus plans), leads saved in Sales Navigator can be synced to Salesforce as contacts or leads. InMail messages and connection request activity are logged in the CRM's activity timeline. LinkedIn profile data (current title, company, location) is kept up to date in the CRM automatically.

With the HubSpot integration, similar sync capabilities allow Sales Navigator leads to flow into HubSpot's contact database, and HubSpot's existing contacts are enriched with LinkedIn profile data.

From LinkedIn to Email Outreach

Sales Navigator identifies prospects and enables initial contact through InMail and connection requests. But the long-term outreach relationship typically moves to email, where you have more control over messaging, timing, and automation.

When a Sales Navigator lead responds to your InMail or accepts your connection request, the next step is often to move the conversation to email. Ask naturally during the conversation: "Would it be easier to continue this over email? Mine is [your email] -- feel free to send me yours and I will follow up with the details we discussed."

For building email lists from LinkedIn prospecting, export your Sales Navigator lead lists (names, titles, companies) and research email addresses through your company's email finding tools. Upload collected contact information to Email Extractor to consolidate and deduplicate contacts gathered from LinkedIn alongside contacts from other sources (conference leads, website inquiries, referrals).
