Best Fit by Use Case
| Use case | Recommended platform | Why |
|---|---|---|
| Multi-channel outreach (email + LinkedIn + phone in one sequence) | Lemlist | Only platform of the three that natively supports LinkedIn automation and phone steps alongside email; if your outreach strategy involves touching prospects on multiple channels in a coordinated sequence, Lemlist is the clear choice |
| High-volume sending (1,000-10,000+ emails per day) | Instantly | Unlimited email accounts on all plans means you can distribute volume across many accounts (keeping each account under 50-100 sends per day for deliverability); this is dramatically cheaper than Lemlist or Woodpecker for high-volume use cases because you do not pay per account |
| Maximum deliverability for B2B sales | Woodpecker | Bounce Shield, domain throttling, condition-based sequences, and human-like sending patterns make Woodpecker the most deliverability-focused of the three; if landing in the inbox is more important than sending volume, Woodpecker is the strongest choice |
| Agencies managing multiple clients | Woodpecker or Instantly | Woodpecker has the most mature agency panel with white-labelling and centralised billing; Instantly's unlimited accounts make it cost-effective for agencies managing many client sending accounts; choose Woodpecker for agency management features, Instantly for volume |
| Personalised visual outreach (custom images, videos, landing pages) | Lemlist | Lemlist's dynamic image and video personalisation is unique; if you want to include an image in your cold email that shows the prospect's name on a whiteboard, their company logo on a coffee mug, or their LinkedIn headshot in a custom graphic, only Lemlist does this natively |
| Solo founders and freelancers on a budget | Woodpecker or Instantly | Woodpecker starts at $29/month for 500 prospects (enough for many solo senders); Instantly starts at $30/month with more generous sending limits; both are significantly cheaper than Lemlist for email-only outreach |
Preparing Your Prospect Lists
All three platforms require you to upload prospect lists (CSV files with email addresses and personalisation fields). Before importing, consolidate your prospect data from LinkedIn exports (CSV), CRM exports (CSV), lead database exports (CSV), and any other sources. Upload all files to Email Extractor to extract and deduplicate email addresses. Importing duplicates across campaigns can result in the same prospect receiving multiple sequences simultaneously, which damages your sender reputation and annoys the prospect.
