How to Merge Email Lists from Different Sources Without Duplicates

Decide whether you are merging addresses or contact records

An address-only merge produces a unique list of emails. A contact-record merge must also reconcile names, organizations, preferences, dates and other fields. Email Extractor handles the first task; it does not resolve conflicting CRM records or decide which person's details are current.

Keep the original files before combining anything. Source references and opt-out records should survive even when duplicate address strings are removed.

Merge supported files in one extraction

Open Text and files, select the authorized files you want to combine, and click Extract emails. You can include pasted text in that same file-input flow. The result combines matches and records the inputs where they appeared.

Each file may be up to 25 MB, with 100 MB per batch. A readable PDF, CSV, spreadsheet or TXT file must still meet its reader's limits. Unsupported archives are not made readable by changing their extension.

Download CSV + sources when you need input references. This does not retain every original spreadsheet column as a separate output field.

Combine results from separate runs

Download each completed list before replacing the input. Webpage and file flows do not automatically merge, and separate runs do not share a persistent deduplication set.

For a final address-only pass, download each run as TXT, upload those TXT files together and extract again. Keep the original source-bearing exports separately: the final run identifies the uploaded TXT files as its sources, not the original documents or webpages.

Avoid re-uploading a source-bearing CSV as though only its email column will be read. Addresses appearing inside source names or other columns can become additional matches. If you need to preserve original provenance across batches, use a proper record-merging process outside the extractor.

Understand matching differences

Email Extractor compares addresses without case distinctions for deduplication. That is a product rule, not proof that every receiving mail system treats all capitalization identically. Do not automatically remove dots, plus tags or other valid local-part characters to force more merges.

For already-reviewed plain-text lists containing exactly one address per line, a command-line alternative is:

sort -u list1.txt list2.txt > merged.txt

Use a new output filename. This removes identical lines only; case variants remain distinct. It is not a CSV parser and should not be used to merge multi-column contact records.

Review conflicts and preferences separately

The same address can represent a shared inbox or appear under different names. Repetition across sources does not prove stronger engagement, buying intent or accuracy. Review disagreements rather than automatically trusting the newest-looking file.

Before importing into a CRM or sending platform, reconcile suppression records and the intended purpose. Deduplication does not restore missing permission or replace record-level review. See list segmentation for organizing evidence-backed groups.
