Trade Shows as Lead Sources
Trade shows, conferences, expos and industry events concentrate your target market in one place. The exhibitor list for a single trade show can contain hundreds or thousands of companies in your industry, each with booth contacts, company websites and often direct email addresses. Before the event, exhibitor directories are published online to help attendees plan their visit. After the event, attendee lists (in some cases) and exhibitor directories remain accessible for weeks or months. This data is a concentrated prospecting resource:
Data source
What it contains
When available
Typical format
Exhibitor directory (event website)
Company name; booth number; company description; website; sometimes contact name and email; product categories; company size/type
Published 2-6 months before the event; remains up for weeks after
HTML (searchable directory pages); sometimes PDF
Exhibitor floor plan
Company name; booth number; booth size (indicates company size/investment level); location on floor (corner booths and large islands indicate premium exhibitors)
Published 1-3 months before event
HTML; PDF; interactive map (HTML/JavaScript)
Speaker / presenter list
Speaker name; title; company; session title; biography (often includes contact information or company website)
Published 2-4 months before event
HTML (speaker directory pages)
Sponsor list
Company name; sponsorship level (platinum, gold, silver, etc.); logo; website; sometimes contact
Published when sponsorships are sold (3-12 months before event)
If you attended and gave permission: list of exhibitors with contact information; or list of attendees who visited your booth (badge scan data)
1-4 weeks after event
CSV; Excel; PDF
Past show exhibitor lists (prior years)
Same as current exhibitor directory but from previous years; companies that exhibited before are likely to exhibit again or at minimum are active in the industry
Often still accessible on event websites from prior years; archived by search engines

Extraction Workflows
Pre-show prospecting (you are attending the show)
Step
Action
Purpose
1. Download the exhibitor directory
Save the exhibitor directory pages from the event website; this may be a single page, multiple pages (paginated A-Z), or a searchable database; download all pages
Capture the complete exhibitor list before it changes or is taken down
2. Download the speaker list
Save speaker/presenter directory pages
Speakers are industry leaders and potential prospects or referral sources
3. Download the sponsor page
Save the sponsor/partner page
Sponsors are the most invested companies at the show; highest-value prospects
4. Upload all pages to Email Extractor
Upload all downloaded HTML and PDF files to Email Extractor to extract email addresses from exhibitor profiles, speaker bios and sponsor listings
Extract and deduplicate all email addresses across all event pages in one step
5. Build a pre-show outreach list
From the extracted emails, identify companies that are prospects; cross-reference with your CRM to avoid contacting existing customers
Targeted outreach to prospects who will be at the show
6. Send pre-show outreach
Email prospects 3-4 weeks before the show: "We will both be at [Event Name]. I would like to stop by booth [their booth number] to discuss [specific topic relevant to them]. Alternatively, if you would like to visit us at booth [your booth number], I will have [specific demo/material/sample] available..."
Schedule meetings and booth visits before the show; the show floor is chaotic and unplanned conversations are often superficial
Pre-show prospecting (you are NOT attending the show)
The exhibitor list is valuable even if you are not attending: these companies are active in your industry and invest in business development
5. Build a prospect list segmented by exhibitor characteristics
Segment by: booth size (large = larger company); product category (match to your offering); new exhibitors (first time at this show = growing company); returning exhibitors (established player)
Different outreach for different segments
6. Outreach (not attending)
"I was reviewing the exhibitor list for [Event Name] and noticed [Company] will be showcasing [product/service]. We work with companies in [industry] on [your offering]. Since we will not be at the show this year, I wanted to reach out directly: [specific value proposition relevant to what they are exhibiting]..."
Reference the show to explain how you found them; demonstrates you are active in their industry
Post-show follow-up (you attended)
Step
Action
Purpose
1. Collect all post-show data
Badge scan exports (CSV from lead retrieval app); business cards collected (photograph and extract text or manually enter); notes from conversations (CRM notes, notebook, phone notes)
Consolidate everything collected at the show
2. Export post-show attendee/exhibitor data from show management
If the event organiser provides exhibitor or attendee data to exhibitors (some do; some provide only to attendees who opted in)
Additional contacts beyond those you personally met
3. Upload all files to Email Extractor
Upload badge scan exports (CSV), business card scans (if digitised to VCF, CSV or text file), exhibitor directory downloads (HTML, PDF) and any show management exports (CSV, Excel) to Email Extractor
Extract, consolidate and deduplicate all email addresses from all show sources; one person may appear in your badge scans, in the exhibitor directory, and in the show management export
4. Prioritise follow-up
Segment by: [Hot (had substantive conversation; expressed interest; requested proposal/demo/sample)]; [Warm (stopped by booth; brief conversation; took materials)]; [Cold (on exhibitor list; did not meet; but fits your prospect profile)]
Hot leads get personal email within 48 hours; warm within 1 week; cold within 2 weeks
5. Follow up
Hot: personal email referencing your conversation, agreed next steps, and any materials promised. Warm: "It was good meeting you at [Event Name]. You mentioned [topic]; here is [relevant resource]..." Cold: "I did not get a chance to connect at [Event Name], but your company caught my attention because [specific reason]..."
Timely, specific, segmented follow-up; do not send the same generic email to all contacts
Trade Show Exhibitor Data by Industry
Industry
Major trade shows
Exhibitor count
Exhibitor data richness
Technology
CES, RSA Conference, AWS re:Invent, Microsoft Ignite, Dreamforce, Web Summit
1,000-4,000+ exhibitors
High: detailed company profiles; product categories; contact forms; many include email
Manufacturing
IMTS, FABTECH, Automate, Pack Expo, MODEX
1,000-2,500+ exhibitors
Medium to high: company profiles; product categories; some include direct contact email; many link to company website
Healthcare
HIMSS, RSNA, MEDICA, AORN, AHA Annual Meeting
500-2,000+ exhibitors
Medium: company profiles with regulatory focus; contact information varies; speaker lists are particularly valuable
Construction
World of Concrete, CONEXPO, AHR Expo, Greenbuild
1,000-2,800+ exhibitors
Medium: company profiles; product categories; booth size data useful for company size estimation
Lower response rates; email goes to a shared inbox
Use generic address as a starting point; search the company website for specific contacts; or use Email Extractor on the company's "About" or "Team" page to find individual addresses
Outdated exhibitor data (prior year)
Contact may have changed roles; company may have changed focus; person listed may no longer be with the company
Verify before sending; check LinkedIn to confirm the person is still at the company; use current year data when available
Email addresses from interactive/JavaScript directories
Some exhibitor directories load data dynamically (JavaScript); the HTML source may not contain the email addresses
Use the browser to load the complete directory; then save the rendered page (Ctrl+S / Cmd+S saves the rendered HTML); upload the saved HTML to Email Extractor
PDF exhibitor directories
Some events publish exhibitor directories as downloadable PDFs
Email Extractor supports PDF files; upload the PDF directly; note that scanned image PDFs (photos of a printed directory) will not yield results because Email Extractor does not perform OCR
Duplicate contacts across multiple shows
The same company exhibits at multiple shows in the same industry; you may extract the same contacts from 3-4 different show directories
Upload all show directory downloads together to Email Extractor for cross-show deduplication; or maintain a master "trade show contacts" list and deduplicate new show data against it
