The Alumni Data Challenge

University and college alumni databases are among the largest, oldest and most difficult contact databases to maintain. A university that has operated for 100 years may have 200,000+ alumni records spanning every decade from the 1920s to today. Alumni move an average of 11 times during adulthood, change employers 12+ times during their career, change email addresses every 3-5 years, marry and change names, earn additional degrees and professional credentials, and retire. Each life event creates a data quality issue in the alumni record. Unlike business databases where a contact is relevant for 2-5 years, alumni records must be maintained for 40-60+ years after graduation:

Data challenge Scale Impact on advancement operations
Address decay 3-5% of alumni addresses become invalid each year; over 10 years without active maintenance, 25-40% of the database has outdated addresses Fundraising solicitations reach fewer alumni; returned mail costs $0.50-$1.50 per piece in postage and printing; annual fund response rates decline
Email address decay 5-10% of alumni email addresses become invalid each year; alumni who provided a university email (.edu) at graduation often abandon it within 1-2 years Email is the most cost-effective channel for alumni communication; invalid email addresses mean alumni miss event invitations, giving appeals, class notes and university news
Name changes 2-4% of alumni change their name (primarily through marriage) without notifying the university Mail addressed to a former name may be returned or ignored; alumni may not recognise communications addressed to their maiden name; duplicate records may be created under both names
Duplicate records 5-15% of alumni databases contain duplicate records; duplicates are created when alumni re-enrol (undergraduate then graduate school), when name changes create a new record, when event registrations do not match to existing records, or during data migrations Duplicate solicitations are the number one complaint from alumni; an alumnus who receives two copies of every mailing feels that the university does not know them; duplicates inflate participation metrics and distort giving data
Lost alumni 10-30% of alumni have no valid contact information (no working mailing address, email or phone); these are "lost" alumni Lost alumni cannot be solicited for gifts, invited to events, or counted as engaged; they represent unrealised giving potential; the alumni participation rate (percentage of alumni who give) is calculated against the total addressable alumni population, so lost alumni drag down the rate

Systems That Hold Alumni Data

System What it stores How it relates to other systems
Student Information System / SIS (Banner, PeopleSoft, Workday Student, Colleague) Student records: name, student ID, enrolment history, degrees earned, major/minor, graduation date, campus address, home address, parent information The SIS is the system of record for academic information; when a student graduates, their record should transfer to the advancement/alumni database with academic data intact
Advancement CRM / Alumni Database (Raiser's Edge NXT, Advance by Ellucian, Slate for Advancement, ThankView, GiveCampus, iModules/Anthology) Alumni biographical data, contact information, giving history, event attendance, volunteer activities, communications history, relationships (spouse, children who are also alumni, parents, employers), interests, class year, reunion giving The primary system for alumni relations and fundraising; should be the source of truth for alumni contact information; receives data from SIS at graduation and from various other sources throughout alumni's lifetime
Email marketing platform (Mailchimp, Emma, Constant Contact, or integrated in advancement CRM) Email addresses, email engagement data (opens, clicks, bounces, unsubscribes), email preferences, communication segments May hold more current email addresses than the advancement CRM if alumni update their email through preference centres; bounce data from email marketing should feed back to the advancement CRM
Event management system (iModules/Anthology events, Eventbrite, Cvent, university custom system) Event registrant information (name, email, class year, guests, meal preferences); event attendance records Registrants may provide current contact information that is more recent than the advancement CRM; event data should be used to update the advancement CRM
Online community / alumni directory (PeopleGrove, Hivebrite, Graduway, iModules, custom platforms) Alumni self-service profiles: current employer, title, city, email, phone, bio, profile photo Alumni may update their online profile more frequently than they contact the advancement office; self-service data is potentially the most current source but requires quality controls
Reunion planning records Class-specific contact lists maintained by reunion volunteers; often in personal spreadsheets, Google Sheets or email threads Reunion volunteers sometimes have the most current contact information for their classmates (they are in personal contact); this data is often not integrated with the advancement CRM

Cleaning Workflows

Comprehensive alumni database audit

Step Action Details
1. Export from all systems Export contact records from: advancement CRM (CSV), email marketing platform (CSV), event attendance records (CSV), online community profiles (CSV), reunion committee contact lists (XLSX, CSV), SIS graduation records (CSV) Include: alumni ID (if assigned), name (first, middle, last, maiden/former, suffix, prefix), class year, degree(s), email (all known), phone (all known), mailing address, employer, title, giving history summary
2. Extract and deduplicate email addresses Upload all exported files to Email Extractor to extract and deduplicate email addresses across all systems The deduplicated email count reveals the true unique alumni email count vs. total records; source-tagged results show which system has each alumnus's email (and which systems are missing it)
3. Identify duplicates Match records using: alumni ID (most reliable); name + class year; name + date of birth; maiden name + class year; email address match across systems Create a manual review queue for potential duplicates: same person with different names (maiden vs. married), same person enrolled as undergraduate and graduate student, same person with records in advancement CRM and event system that did not merge
4. Merge duplicates Merge duplicate records in the advancement CRM; preserve all giving history, event attendance and communications from both records; keep the most current contact information; retain former names as alternate names Merging should be done by a trained data steward; automated merging risks combining records of two different people with similar names (particularly common with alumni from the same family)
5. Verify email addresses Run the deduplicated email list through a verification service Categorise: valid (safe to email), invalid (need new address), risky (monitor), disposable (unusual for alumni; may indicate data quality issue)
6. Address NCOA processing Run mailing addresses through the National Change of Address (NCOA) database to identify alumni who have moved and update addresses NCOA catches moves reported to the USPS within the past 4 years; older moves require additional skip-tracing methods
7. Update advancement CRM Import cleaned, deduplicated, verified data back to the advancement CRM; update email addresses, mailing addresses, phone numbers and employer/title information Configure the CRM to track the data source and update date for each field so future cleaning can prioritise the most reliable sources

Pre-campaign cleaning

Timing Campaign type Cleaning steps
6 months before Annual fund / year-end giving appeal (the largest fundraising campaign of the year; typically mailed October-December) Full email verification; NCOA processing; deceased alumni screening; lost alumni research push; update records from reunion volunteer data
3 months before Reunion year (milestone reunions: 5th, 10th, 25th, 50th) Focus on the specific class year(s): verify all email and mailing addresses for that class; reach out to reunion committee for updated contact information; search social media for lost classmates; update employer/title for class directory
Monthly Ongoing email communications (alumni newsletter, event invitations, giving receipts) Process bounced emails from previous month; remove hard bounces; investigate soft bounces; update records with new email addresses when available

Alumni-Specific Data Quality Issues

Issue Why it happens with alumni How to identify Resolution
University (.edu) email address abandoned Alumni are assigned a university email at enrolment; many universities offer lifetime email forwarding, but alumni may not set up or maintain the forwarding; the .edu address becomes the only email in the database Hard bounce when emailing; no engagement (no opens for 12+ months); .edu addresses that are not part of a lifetime forwarding programme Solicit a personal or work email through a mailed postcard, phone call, or social media outreach; update the record with a non-.edu address
Parent address on record For young alumni (recent graduates), the advancement CRM may still have the parent's address from the student record rather than the alumnus's current address Address matches a parent's record in the database; alumni aged 22-30 with an address that has not changed since graduation Send a welcome series to new graduates asking them to update their address and email; include address update forms in early post-graduation communications
Spouse/partner record linkage When two alumni marry each other, their records should be linked but maintained separately; some systems merge them into a joint record, losing individual giving history and communication preferences Records where one spouse's email is used for both; joint salutation but individual giving data is needed for participation metrics Maintain separate records for each alumnus with a relationship link; each should have their own email address and giving record
Deceased alumnus not flagged The university may not learn of an alumnus's death for months or years; no systematic death notification process exists for most universities Social Security Death Index (SSDI) screening; returned mail with deceased notification; family notification; obituary monitoring services Flag the record as deceased immediately upon verification; exclude from all future solicitations and event invitations; retain the record for historical reporting (do not delete); handle with sensitivity when family contacts are in the same database

Metrics

Metric Typical before cleaning After cleaning Impact
Email deliverability rate 70-80% (alumni databases have high bounce rates due to abandoned .edu addresses and life changes) 90-95% 15-25 percentage point improvement; more alumni receive fundraising appeals and event invitations
Alumni with a valid email address 55-70% of total alumni 75-85% (through verification, recovery efforts and solicitation of new addresses) Significant increase in the electronically reachable alumni population
Duplicate record rate 8-15% Under 3% Elimination of duplicate solicitations; more accurate alumni counts and participation metrics
Lost alumni rate 15-30% 10-15% (through NCOA, skip tracing, social media research and reunion volunteer outreach) Expanded addressable population for fundraising and engagement
Annual fund email response rate 1-3% (diluted by invalid addresses and disengaged recipients) 3-6% (sending only to valid, engaged addresses) Higher response rates mean more gifts per email sent and better return on fundraising investment
Returned mail rate 5-10% of mailed solicitations Under 3% Reduced postage and printing waste; cost savings of $0.50-$1.50 per returned piece
