The Association Data Challenge
Professional and trade associations accumulate contact data over decades. A member who joined in 2005 may have changed employers three times, moved twice, changed their email address from a work address to a personal one and back, updated their phone number, earned new credentials and served on multiple committees. Each change may have been captured in one system (the AMS/membership database, the event registration platform, the committee management system, the learning management system, the certification tracking system) but not propagated to others. The result is a fragmented member record spread across multiple systems, each with different (and potentially outdated) contact information:

Extremely sensitive: sending a renewal notice or event invitation to a deceased member's family is distressing; deceased member data should be coded (not deleted, as it is part of association history) but excluded from all active communication

2. Extract and deduplicate email addresses
Upload all exported files to Email Extractor to extract email addresses and deduplicate across all sources
The deduplicated email count compared to total records reveals the scope of duplication; source-tagged results show which systems have each member's information
3. Identify duplicates by member
Beyond email deduplication, identify duplicate member records using: name + employer, name + ZIP code, name + credential/certification number, member ID matching across systems
Manual review queue for potential duplicates that cannot be automatically resolved (different names but same address, different email but same employer, etc.)
4. Establish source of truth
For each data field, determine which system is most likely to have the current, correct information
Email: most recently used (last event registration or last login to member portal). Employer/title: most recently updated (self-service portal update or last event registration). Address: most recently verified (returned mail flagging). Certification status: certification tracking system. Dues status: AMS billing module.
5. Create unified member record
Merge duplicate records into a single master record using the source-of-truth hierarchy; retain historical data (previous employers, previous addresses) as history but mark current/primary clearly
The unified record becomes the single source for all communication and reporting
6. Verify email addresses
Run the deduplicated, unified email list through a verification service
Remove invalid addresses; flag risky addresses; identify disposable addresses (indicating members who do not want to be contacted)
7. Update AMS and downstream systems
Import cleaned data back to the AMS; configure AMS-to-other-system synchronisation so future updates propagate
If the AMS supports it, set up automated synchronisation with event registration, LMS and certification systems
