The Membership Database That Is Never Complete

Every professional association, trade association, and membership organization faces the same data challenge: the contact information for people connected to the organization exists in multiple systems, and no single system contains all of it. The association management software (AMS) -- iMIS, YourMembership, MemberClicks, Wild Apricot, GrowthZone, Fonteva, Nimble AMS, MemberSuite, StarChapter, or one of dozens of other platforms -- holds the official membership database. But alongside the AMS, contact information accumulates in event registration systems (for conferences, webinars, and workshops that attract non-member attendees), chapter-level spreadsheets (maintained by local chapter leaders who may or may not enter their data into the national AMS), committee rosters (maintained in shared documents, email threads, and personal files by committee chairs), certification tracking systems (which may be a module within the AMS or a separate system entirely), and email marketing platforms (Mailchimp, Constant Contact, HubSpot -- which accumulate subscribers who are not necessarily in the AMS).

The result is a fragmented contact universe where the association has email addresses for thousands of people spread across multiple systems, with overlapping and inconsistent records. The member who renewed last year and attended the annual conference has two records -- one in the AMS and one in the event registration system -- and the email address may be different in each (they used their personal email to register for the conference and their work email on their membership record). The former member who let their membership lapse three years ago but still attends events and holds an active certification has no current AMS record but appears in the event system and the certification database. The chapter-level volunteer who serves on a local committee has a record in the chapter chair's spreadsheet but not in the national AMS.

For association staff responsible for communications, marketing, membership recruitment, and member engagement, consolidating these fragmented contact lists into a single, deduplicated master contact file is essential for reaching the full universe of people connected to the organization.

AMS Membership Database Exports

The first and largest source of contact data is the AMS membership database itself. Most AMS platforms allow administrators to export the full membership database as a CSV or Excel file. The export typically includes member name, email address (and sometimes a secondary email), mailing address, phone number, employer name and title, membership type (individual, corporate, student, retired, honorary), membership status (active, lapsed, pending, expired), join date and renewal date, chapter or section affiliation, and engagement metrics (events attended, committees served on, certification status).

Export the full membership database from your AMS. Upload to Email Extractor to extract and deduplicate email addresses. The extraction identifies unique email addresses across the entire membership file, removing exact duplicates and flagging records where the same person appears with different email addresses (which happens frequently when members update their email in one system but not another, or when they have both a personal and a professional email on file).

Pay particular attention to lapsed members -- those whose membership status shows "expired" or "lapsed." These individuals were once engaged enough to join the association, and their contact information is still in the database. A lapsed member reactivation campaign is typically more cost-effective than acquiring entirely new members, because the lapsed member already understands the value proposition and has a relationship with the organization.

Event Registration Data Extraction

Conference and event registration systems capture contact information for every attendee, including non-member attendees who do not appear in the AMS. A professional association's annual conference might attract 2,000 attendees, of whom 1,400 are current members and 600 are non-member attendees (speakers, exhibitor staff, guests, prospective members exploring the profession). Those 600 non-member attendees represent a warm prospect list for membership recruitment -- they were interested enough in the profession to attend the conference and pay the registration fee, but have not yet committed to membership.

Export registration data from your event registration platform (Cvent, Eventbrite, RegOnline, a custom system, or the AMS's built-in event module). The export includes attendee name, email, company, title, registration type (member, non-member, speaker, exhibitor, student), sessions registered for, and payment status. Upload to Email Extractor to extract and deduplicate email addresses from the registration export.

Cross-reference the event registration email addresses against the AMS membership database. Addresses that appear in the event registration but not in the AMS represent non-member contacts -- the warm prospect list for membership recruitment. Addresses that appear in both but differ (different email addresses for the same person) reveal records that need to be reconciled in the AMS to ensure communications reach the member at their preferred address.

Chapter and Section Member List Consolidation

Many associations operate through a chapter structure -- local, regional, or state chapters that manage their own membership activities, events, and communications. In a well-integrated association, chapter member data flows into the national AMS so that the national organization has a complete view of every member. In practice, many chapters maintain their own member lists in spreadsheets, local databases, or separate instances of AMS software that are not synchronized with the national database.

The result is that the national AMS may not include contact information for chapter-only members (people who joined at the chapter level and whose information was never entered into the national system), chapter-level volunteers and leaders whose committee service is tracked locally but not nationally, and chapter event attendees who registered through the chapter's own event management process.

Collect member lists, volunteer rosters, and event registration data from each chapter. These files arrive in various formats -- Excel spreadsheets, CSV files, PDF rosters, email attachments. Upload each file to Email Extractor to extract email addresses. The extraction normalizes the data from different formats into a consistent list of email addresses that can be cross-referenced against the national AMS to identify contacts that exist only at the chapter level.

Certification and Continuing Education Records

Associations that operate certification programs maintain records of every certified professional -- their certification type and level, certification date, renewal date, continuing education credits earned, and contact information. The certification database often includes professionals who were once members but have let their membership lapse while maintaining their certification (because the certification has direct career value independent of membership). These professionals are connected to the association through their certification but may not be receiving membership communications because their membership record is inactive.

Export the certification tracking database and the continuing education credit records. Upload to Email Extractor to extract and deduplicate email addresses from certification holder and CE participant records. Cross-reference against the AMS membership database to identify certified non-members (who should receive targeted membership recruitment communications) and certified members whose certification record email differs from their membership record email (which indicates that one of the records needs to be updated).
