What Is Data Enrichment?

Data enrichment adds context to your existing data. When you extract email addresses from files using Email Extractor, you get a list of email addresses. Enrichment turns those addresses into actionable contacts by adding information like:

  • Full name.
  • Job title.
  • Company name.
  • Company size.
  • Industry.
  • Location.
  • Social media profiles.
  • Phone number.

This additional context lets you segment, personalise and prioritise your outreach rather than sending the same generic message to every address.

Why Enrichment Matters

Personalisation

"Hi John, I noticed your team at Acme Corp recently expanded the engineering department" gets a response. "Hi, I wanted to reach out about our product" does not.

Enrichment provides the data points that make personalisation possible. Without it, you are emailing blind.

Prioritisation

Not every email address is equally valuable. Enrichment reveals which addresses belong to decision-makers at companies that match your ideal customer profile, and which belong to people who will never buy.

Without enrichment, you spend equal effort on high-value prospects and dead ends.

Segmentation

Different segments get different messages. Enrichment data lets you create segments by industry, company size, job function, seniority and location.

A sales email to a VP of Marketing at a mid-market SaaS company should read differently from one to a Director of Operations at a manufacturing firm.

What Email Extractor Does (and Does Not Do)

Email Extractor extracts email addresses from text and files. It does the extraction step, not the enrichment step. Specifically:

What it does:

  • Extracts every email address from your uploaded files or pasted text.
  • Removes duplicates (case-insensitive deduplication).
  • Exports results as TXT, CSV or CSV with source information.

What it does not do:

  • Look up names, job titles or company information for extracted addresses.
  • Verify that extracted addresses are deliverable.
  • Infer any information beyond the email address itself.

The source-bearing CSV download shows which file, row or section each address was found in. This provenance information can help you manually associate addresses with context from the original documents.

Enrichment Methods

Method 1: Enrichment services

Dedicated enrichment services take an email address as input and return associated profile data from their databases.

How it works:

  1. Upload your list of email addresses (typically as CSV).
  2. The service matches each address against its database.
  3. Results come back with available fields populated: name, title, company, industry, location and more.

Common enrichment services:

  • Clearbit (now part of HubSpot): Matches email addresses to company and person data. Strong coverage of B2B contacts. API available for real-time enrichment.
  • Apollo.io: Combines enrichment with prospecting tools. Includes email verification.
  • ZoomInfo: Enterprise-grade enrichment with extensive B2B coverage.
  • FullContact: Person-level enrichment from email addresses.
  • Pipl: Identity resolution from email, phone or social profiles.
  • Hunter.io: Domain-level enrichment showing email patterns and associated contacts.
  • Lusha: Contact enrichment focused on phone numbers and email verification.

Coverage: No single service covers 100% of email addresses. Match rates typically range from 30-80% depending on the service and the type of addresses. Business email addresses (john@company.com) match at higher rates than personal addresses (john123@gmail.com).

Cost: Most services charge per lookup. Prices range from a fraction of a cent to several cents per record depending on the depth of data returned and the service tier.

Method 2: CRM reverse lookup

If you already use a CRM (HubSpot, Salesforce, Pipedrive, Zoho CRM), check whether the extracted addresses already exist in your database with associated contact records.

Steps:

  1. Export your CRM contacts as CSV with all available fields.
  2. Cross-reference your extracted email list against the CRM export.
  3. For matches, you already have the enrichment data from your CRM records.
  4. For non-matches, use an enrichment service or manual research.

Many CRMs also offer built-in enrichment. HubSpot, for example, enriches new contacts with company data automatically.

Method 3: Domain-based enrichment

The domain part of an email address (after the @) reveals the company. From the company, you can research publicly available information.

What a domain tells you:

  • Company name (from the website's homepage or about page).
  • Industry (from the website content, LinkedIn company page or databases like Crunchbase).
  • Company size (from LinkedIn company page, job postings or databases).
  • Location (from the company website's contact page).

Limitations: This works for business email addresses at company domains. Personal email addresses (@gmail.com, @yahoo.com, @outlook.com) tell you nothing about the person's employer.

Method 4: Manual research

For high-priority contacts, manual research produces the most accurate and personalised data.

Where to look:

  • LinkedIn (name, title, company, experience, shared connections).
  • Company website (team page, about page, press releases).
  • Social media (Twitter, industry forums, personal blogs).
  • Conference speaker lists (presentations, panels, keynotes).
  • Industry directories.
  • Published content (blog posts, articles, podcast appearances).

Manual research does not scale, but for your top 50 prospects, an hour of research per person pays dividends in response rates.

Method 5: Import and let the CRM enrich

Some CRMs and sales engagement platforms automatically enrich contacts as they are imported.

Steps:

  1. Import your extracted email list into a CRM that supports auto-enrichment.
  2. The CRM queries its data partners to fill in available fields.
  3. Review the enriched records.

This approach trades accuracy for convenience. Auto-enrichment data is not always current or complete.

Building an Enrichment Workflow

For small lists (under 100 addresses)

  1. Extract addresses using Email Extractor.

  3. For new addresses, use domain-based research and LinkedIn to add context.
  4. Prioritise manual research for the most promising contacts.

For medium lists (100-1,000 addresses)

  3. Upload non-matches to an enrichment service.
  4. Review and verify enrichment results.
  5. Manual research for top-priority contacts where enrichment data is missing.

For large lists (1,000+ addresses)

  2. Verify all addresses through a verification service. Remove invalid ones before paying for enrichment.
  3. Cross-reference against your CRM.
  4. Batch upload to an enrichment service.
  5. Segment results by data quality: fully enriched, partially enriched, no match.
  6. Decide whether the "no match" segment is worth manual effort or should be set aside.

After Enrichment

Segment your list

Use the enrichment data to create targeted segments:

  • By job function (marketing, sales, engineering, finance).
  • By seniority (C-suite, VP, director, manager, individual contributor).
  • By company size (startup, SMB, mid-market, enterprise).
  • By industry.
  • By location.

Personalise your outreach

Use enrichment fields in your email templates:

  • First name for the greeting.
  • Company name in the opening.
  • Industry or role-specific pain points in the body.
  • A relevant case study or proof point for their segment.

Maintain the data

Enrichment data goes stale. People change jobs, companies rebrand, titles evolve. Schedule regular re-enrichment:

  • Every 6 months for active prospect lists.
