Email Extraction for Event Organisers: Speakers, Sponsors and Attendees

Keep three contact purposes separate
Speaker invitations, sponsorship enquiries and attendee communications need different records. Email Extractor can collect addresses from authorized materials, but cannot determine someone's role, interest, availability or permission to receive a particular message.
Start with your existing event records and a clear purpose. An attendee's registration details are not automatically appropriate for a sponsor campaign. A person listed as a speaker at another event has not agreed to join yours.
Select sources that fit the task
For speakers, review official biographies and stated booking routes. A programme can list names without contact details. The extractor cannot manufacture an email from a speaker's name or guarantee one result per biography.
For sponsors, use your approved past contacts or a company's published partnership route. A sponsor logo identifies a company, not a personal email address, budget or intention to sponsor another event.
For attendee administration, use your authorized registration export. Keep the original fields showing event, registration status and communication preferences. Membership in someone else's professional directory does not automatically authorize your event marketing.
Extract files and pages deliberately
In Text and files, upload supported exports or readable programme documents and click Extract emails. Files are processed in your browser. The limits are 25 MB per file and 100 MB per batch. Select only records needed for the task, rather than including unnecessary payment or accessibility information.
For public URLs, use Webpages, allow downloading and click Load webpages. Extract after loading finishes. A run allows 10 websites and 25 pages per website. Following important links can locate contact pages, but cannot guarantee a complete directory.
File and webpage flows do not automatically combine. Download results before replacing them, and use CSV + sources to keep input references.
Preserve roles and preferences outside the extractor
A useful review record contains the address, source, event year, confirmed role, intended purpose and preference status. The extractor does not infer these fields or maintain a multi-year event database.
Merging last year's address list with new files can remove duplicate addresses, but does not reconcile changed preferences, canceled registrations or contradictory contact details. Use your event platform or CRM to perform that record-level work.
Set retention according to your event's actual policy instead of keeping every attendee list indefinitely. Honor opt-outs across future imports as well as current campaigns.
Check a sample before using each group
Compare results with the original documents. Venue staff, billing contacts and unrelated addresses can appear in the same materials as speakers. Review them before assigning a role.
