Email Extraction for Marketing Agencies: Client Data and Source Review

On this page

Separate each client's task and data

An agency may use Email Extractor to organize approved exports, public media contacts or partnership enquiries. The tool collects addresses already present in the supplied content. It does not decide whether a contact is qualified or whether the agency has permission to use it for a client's campaign.

Define the purpose, authorized sources and intended recipient group before processing. A funding announcement, award or job advertisement does not prove that a company wants agency services. A client's old contact file does not establish current preferences.

Understand the processing paths

Text and uploaded files are processed in your browser. Public webpage URLs are sent to the server for downloading. These are different data flows; the claim that nothing ever goes to a server would be inaccurate.

The optional extension reads accessible loaded content when you click its action. Treat its saved captures and downloaded results as client data too. Review the privacy page before deciding whether a workflow fits the engagement.

History can store result lists in the browser. Ordinary tabs share that browser profile's storage; opening a new tab does not isolate one client from another. Use separate managed profiles or another approved segregation process when needed, and handle saved results according to your agency's retention policy.

Extract only the needed sources

In Text and files, upload supported documents or paste text, then click Extract emails. Limits are 25 MB per file and 100 MB per batch. Avoid including unnecessary confidential fields just because they appear in the same export.

In Webpages, enter public URLs, allow downloading, load the pages and then extract. A run supports 10 websites and up to 25 pages per website. Do not submit password-bearing or private-token URLs as public pages.

These flows do not automatically merge. Download results before replacing them. Use CSV + sources for review references, keeping original exports when you need names or other contact fields.

Deliver a reviewed result, not an inferred audience

The extractor's CSV does not automatically include company names, job roles, consent status or lead scores. Add such fields only through a separate evidence-backed process. A multi-client master list should not erase client boundaries or suppression records.

Before a handoff, check addresses against their source and purpose. Shared media inboxes may be appropriate for a press enquiry; removing all role-based addresses would discard useful contacts in that context.

Match the final file to the client's importer, verify the expected columns and document limitations. Do not claim verification, permission checks or complete directory coverage unless those checks were actually performed. Email Extractor does not synchronize with a CRM, send campaigns or maintain client unsubscribe records.
