Email Extraction for Nonprofits: Organizing Reviewed Contacts

Begin with the purpose of your list

Nonprofits may need to organize contacts from approved partner directories, volunteer exports or published grant information. Email Extractor collects addresses already present in those materials. It does not find an email from a donor's name, confirm grant eligibility or turn public information into marketing permission.

Separate the jobs before extracting: a funding enquiry, a volunteer service update and a fundraising campaign have different audiences and expectations. Keep records explaining where each address came from and why your organization may use it.

Choose useful sources

For funding enquiries, start with the funder's official application instructions. Some organizations require a portal or prohibit unsolicited proposals. A public staff address does not override that process or prove the person makes funding decisions.

For volunteers and partners, use exports your organization is authorized to process. A public annual report may name donors without publishing email addresses. The extractor cannot recover contact information that is absent from the document.

Extract and retain context

  1. Open Text and files and paste text or upload supported documents.
  2. Click Extract emails after the input is ready.
  3. Review the result list, including shared inboxes and outdated addresses.
  4. Download CSV + sources to keep source information for later review.

Files are processed in your browser, with a 25 MB per-file limit and 100 MB batch limit. Avoid including unnecessary sensitive beneficiary information in the input. Your handling and retention of the resulting list still need to follow your organization's policies.

For public websites, use Webpages instead. Enter up to 10 websites, allow downloading, load the pages, then extract. A linked-page scan allows up to 25 pages per website. Page addresses are sent to the server for downloading; this is a different flow from local document processing.

Keep separate audiences separate

File and webpage input modes do not automatically combine into one result list. Download results before starting another extraction. Combining address-only exports later can remove the original source context, so keep your source-bearing CSV files as well.

Label contacts using reviewed records, such as an active volunteer registration or a published grants enquiry address. Do not infer donor interest, donation capacity or consent from a domain or repeated appearances in documents.

Email Extractor is free to use without an account, within its processing limits. It does not send messages or manage unsubscribe requests. Use your existing communication process to maintain preferences and suppress contacts who should not receive a campaign.
