Email Extraction for Tutors: Organise Student and Parent Contacts from Booking and Payment Records

The Problem
Tutors and tutoring companies collect contact information through booking platforms, enquiry forms, invoices, school referrals and parent correspondence. Independent tutors often start with informal records (text messages, email threads, handwritten notes) and only later adopt a formal booking or invoicing system. Tutoring companies may have contacts split between a scheduling platform, an accounting system and individual tutors' personal records.
When it is time to announce availability for the next school term, promote test prep packages, share schedule changes, or ask for referrals, pulling together a complete list of current and past client email addresses from all these sources is harder than it should be.
Where Tutor Email Addresses Live
- Booking and scheduling platforms. Online scheduling tools store client contact details. Exports are typically CSV or XLSX files containing student or parent names and email addresses.
- Invoices and payment records. Billing records with client email addresses from invoicing software or payment platforms, exported as PDF, CSV or spreadsheet files.
- Enquiry emails. Messages from parents or students asking about availability, rates, subjects and qualifications, saved as EML or MSG files.
- School referral correspondence. Emails from school counsellors, learning support coordinators or teachers referring students, containing parent contact details.
- Intake and assessment forms. Forms filled out at the start of a tutoring relationship, recording contact details, learning goals and relevant background. These may be PDF files, DOCX documents or spreadsheet entries.
- Tutoring platform records. If the tutor uses a tutoring marketplace or platform, student and parent contact data may be exportable as CSV.
- Personal contact lists. Spreadsheets, text files or contact app exports maintained by individual tutors.
How to Extract
- Gather files containing student and parent email addresses from your scheduling exports, invoices, enquiry emails and intake forms.
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the files. Mix file types freely. Up to 25 MB per file, 100 MB per batch.

- Review the results. Duplicates are removed automatically.
- Download as CSV with sources to see which file each address came from.
What to Do with the Results
Announce availability for the next term
At the start of each school term or academic year, tutors need to let families know their schedule and availability. A consolidated email list lets you send one announcement to every current and past client rather than messaging people individually.
Review the list before sending. Extraction captures every email address in the files, including school staff contacts, your own email, platform notification addresses and payment service addresses. Remove non-client entries.
Promote seasonal services
Test prep season, exam revision periods and summer enrichment programmes are natural opportunities for outreach. A complete client list lets you reach families who have used your services before, as well as those who enquired but did not book.
Re-engage former students
Extract from older invoices and booking records to find families you tutored in previous years. Students' needs change as they advance through school, and a family that needed reading support in primary school may need maths tutoring in secondary school. A check-in email can re-establish the connection.
Separate students from parents
If you download as CSV with sources, you may be able to distinguish student email addresses (from booking platforms where the student books directly) from parent email addresses (from invoices and intake forms where the parent is the contact). For younger students, parent addresses are the appropriate contact for marketing. For older students and adult learners, the student's own address is appropriate.
Ask for referrals
Extract from recent invoices to build a list of active clients. A referral request sent to satisfied families is one of the most effective ways tutors find new students.
Consolidate when scaling up
Independent tutors who grow into a tutoring company often have contact information scattered across personal records. Extraction brings all those addresses into one list that can be imported into a proper CRM or booking platform as the business formalises.
Limitations to Know
- Email addresses only. The extracted list does not include student names, parent names, subjects, grade levels, or session schedules. For complete client records, use your booking or invoicing platform's export.
- Platform restrictions. Some tutoring marketplaces restrict how you may use client data obtained through their platform. Check your agreement before using extracted addresses for direct outreach outside the platform.
- Multiple contacts per student. A student may have two parents with different email addresses, and an older student may also have their own email. All of these may appear in the extracted list. This is usually desirable for communication but means you may send multiple copies of the same message to one household.
- Scanned documents. Paper intake forms or handwritten records scanned to PDF without OCR will not yield results. See Extract emails from PDF files.
