How to Extract Email Addresses from CSV Files

On this page

Extract addresses from a CSV export

CSV files store records as plain text, usually with commas between fields. Contact lists, CRM exports and event registrations often contain email addresses alongside names and other information.

Email Extractor finds email-address matches in the file's readable content. It does not require a particular column name, and it does not import the full records into a CRM.

Upload and extract

  1. Open Email Extractor and choose Text and files.
  2. Choose Upload files and select your CSV, or drop it onto the page.
  3. Keep each file under 25 MB and the combined batch under 100 MB.
  4. Click Extract emails and review the results and source information.
  5. Use search or Filter by domain to narrow the list, then copy or download it.

You can combine CSV files with pasted text and other supported files. Duplicate addresses are combined. Copies and downloads use the current filtered list, so reset filters before exporting everything.

Example input

name,email,department
Alex,alex@example.com,Sales
Mina,mina@example.org,Support
Alex,alex@example.com,Sales

This sample contains two unique email addresses. Their presence does not establish that either mailbox exists; the domains are examples.

Choose an output format

Download TXT provides a plain address list. Download CSV provides a CSV output. CSV with sources adds source and location details, which can help you review where an address came from.

Extraction does not preserve every original contact field. If you need names, consent records and company information together, keep the original export and use your CRM's import tools. Read the CRM formatting guide before importing a new list.

Troubleshooting

If no addresses are found, open the CSV in a text editor or spreadsheet app and confirm that it contains complete addresses. An empty export, a file containing only names or a corrupted file cannot supply the missing addresses.

For a large export, split it into smaller files without cutting records midway. Upload the parts within the batch limit. A ZIP is not a supported input; unzip it first and upload the individual files.

If the output looks incomplete, review the readable text and any file error. Export a fresh CSV from the source application and try again. Extraction finds text matches; it does not verify delivery or decide whether you may contact an address.
