How to Extract Emails from 123FormBuilder Responses

Why Extract from 123FormBuilder?

123FormBuilder is an online form builder used to create registration forms, surveys, order forms, feedback forms and other data collection tools. It supports conditional logic, payment integration, file uploads and multi-page forms. 123FormBuilder stores all form submissions in its reporting section, where responses can be viewed, filtered and exported.

Extracting email addresses from 123FormBuilder submissions is useful in several scenarios.

Building a contact list. Registration forms, sign-up forms, contact forms and lead capture forms collect email addresses that you may want to import into a CRM or email marketing platform.

Consolidating responses across forms. If you run multiple 123FormBuilder forms (event registration, newsletter sign-up, product inquiry, support request), extracting from each and deduplicating reveals your total unique respondent count.

Backing up form data. Even if 123FormBuilder integrations send data to other tools, having a separate extracted email list provides an independent backup.

Migrating to another form builder. When switching from 123FormBuilder to Typeform, JotForm, Google Forms or another builder, extracting respondent email addresses ensures no contacts are lost.

How to Export from 123FormBuilder

123FormBuilder provides export options for form submissions.

Exporting submissions

  1. Log in to 123FormBuilder.
  2. Go to the form whose submissions you want to export.
  3. Navigate to the Reports or Submissions section.
  4. Click Export (or Download).
  5. Choose the export format. Select CSV or Excel for compatibility with Email Extractor.
  6. Optionally apply date range or other filters to export a subset.
  7. Download the file.

Export fields

The exported file includes one row per submission and one column per form field. If your form collects email, name, phone, address and custom fields, all appear as columns. The export may also include metadata such as submission ID, date, time and IP address.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or Excel file (or multiple files from different forms). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.

Import into a CRM or email platform

The extracted list can be imported into HubSpot, Salesforce, Mailchimp, ActiveCampaign or any platform that accepts CSV imports.

Combine responses from multiple forms

Upload exports from all your 123FormBuilder forms together. Deduplication shows your total unique respondent count across all forms.

Compare with existing contacts

Export from your CRM or email platform and compare with the 123FormBuilder extraction. This shows which respondents are already in your system and which are new leads.

Verify addresses

Things to Know

Column headers are not extracted

Column headers from 123FormBuilder exports are text labels, not email addresses, so they do not appear in the extracted results.

Respondent data is not preserved

Email Extractor outputs email addresses only. Names, phone numbers, addresses, custom fields, file uploads and metadata from the export are not carried over.

Forms without email fields

If a 123FormBuilder form does not include an email field, the export will not contain email addresses. Only forms that collect email addresses will produce useful results for extraction.

Payment forms

123FormBuilder supports order forms with payment integration (Stripe, PayPal, etc.). Exports of order forms may include pricing and payment columns alongside contact information. These do not affect email extraction.

Conditional logic

If your form uses conditional logic to show or hide the email field based on previous answers, some submissions may have an empty email cell. Empty cells do not affect extraction.

Submission limits

123FormBuilder plans have limits on the number of submissions stored. If your form has reached its limit, older submissions may not be available for export. Export regularly to avoid data gaps.

Duplicate submissions

If the same person submits a form multiple times, each submission appears in the export. Email Extractor deduplicates automatically.
