How to Extract Emails from Zoho Forms Responses

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Zoho Forms?

Zoho Forms is an online form builder within the Zoho ecosystem. It integrates tightly with Zoho CRM, Zoho Campaigns, Zoho Desk, Zoho Sheet and other Zoho applications. Zoho Forms is used to create registration forms, feedback forms, surveys, order forms, application forms and lead capture forms. All submissions are stored in the form's report section and can be pushed to other Zoho apps or third-party tools.

Extracting email addresses from Zoho Forms submissions is useful in several scenarios.

Building a contact list. Registration forms, sign-up forms and inquiry forms collect email addresses that you may want to use outside the Zoho ecosystem or consolidate with contacts from other tools.

Consolidating responses across forms. If you run multiple Zoho Forms (event registration, newsletter sign-up, contact form, application form), extracting from each and deduplicating reveals your total unique respondent count.

Cross-referencing with Zoho CRM. If Zoho Forms pushes data to Zoho CRM, comparing the extracted form email list with a Zoho CRM export verifies that all submissions were successfully synced.

Using data outside Zoho. If you use non-Zoho tools for email marketing or CRM (Mailchimp, HubSpot, Salesforce), extracting gives you a clean list to import into those platforms.

Backing up form data. Having a separate extracted email list provides a backup independent of the Zoho platform.

How to Export from Zoho Forms

Zoho Forms allows you to export submission data.

Exporting submissions

  1. Log in to Zoho Forms.
  2. Go to the form whose responses you want to export.
  3. Navigate to All Entries (or Reports).
  4. Click Export (or find the download option in the toolbar).
  5. Choose CSV or Excel as the format.
  6. Optionally apply date range or status filters.
  7. Download the file.

Export fields

The exported file includes one row per submission and one column per form field. If your form collects email, name, phone, company and custom fields, all appear as columns. The export may also include metadata such as submission ID, date, time and status.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or Excel file (or multiple files from different forms). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.

Working with the Results

Import into a non-Zoho CRM

If you use HubSpot, Salesforce, Pipedrive or another CRM outside the Zoho ecosystem, the extracted list can be imported directly. This is useful when your forms are in Zoho but your CRM is not.

Import into a non-Zoho email platform

Import the list into Mailchimp, ActiveCampaign, MailerLite or another email marketing platform. This gives you access to features that Zoho Campaigns may not offer or when your marketing team uses a different tool.

Compare with Zoho CRM

If Zoho Forms integrations push submissions to Zoho CRM, export from both, extract, and compare. Addresses in the forms export but missing from Zoho CRM may indicate integration configuration issues.

Combine with other Zoho data

If you also collect contacts through Zoho CRM, Zoho Desk, Zoho Campaigns or other Zoho apps, export from each, extract, and deduplicate. This gives you a complete picture of your Zoho contact universe.

Verify addresses

Form submissions may contain typos or fake entries. Running the extracted list through a verification service removes invalid addresses. See Best email verification services.

Things to Know

Column headers are not extracted

Column headers from Zoho Forms exports are text labels, not email addresses, so they do not appear in the extracted results.

Respondent data is not preserved

Email Extractor outputs email addresses only. Names, phone numbers, custom fields, file uploads and metadata from the Zoho Forms export are not carried over.

Zoho ecosystem integration

Zoho Forms integrates natively with other Zoho products. If you use Zoho CRM, submissions can be pushed automatically as leads or contacts. If you use Zoho Campaigns, email addresses can be added to mailing lists. Extraction is most useful when you need to move data outside the Zoho ecosystem or want an independent check on what has been synced.

Approval workflows

Zoho Forms supports approval workflows where submissions are reviewed before being accepted. Depending on your export settings, pending or rejected submissions may or may not be included in the export. Check submission status before using the full extracted list.

Payment forms

Zoho Forms supports payment collection through integrations with PayPal, Stripe and Razorpay. Payment form exports may include transaction-related columns. These do not affect email extraction.

Submission limits

Zoho Forms plans have limits on the number of submissions per month and the number of forms. Check your plan if exports seem incomplete.

Duplicate submissions

If the same person submits a form multiple times, each submission appears in the export. Email Extractor deduplicates automatically.
