How to Extract Emails from Fillout Responses

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Fillout?

Fillout is a form builder that creates forms, surveys, quizzes and applications. It integrates with Airtable, Google Sheets, Notion, HubSpot, Salesforce and other tools. Fillout stores every submission, including email addresses entered by respondents, along with all other field values.

Extracting email addresses from Fillout responses is useful in several scenarios.

Building a contact list. Registration forms, lead capture forms, sign-up forms and inquiry forms all collect email addresses. Extracting gives you a clean list to import into a CRM or email marketing platform.

Consolidating responses across forms. If you run multiple Fillout forms for different purposes, extracting from each and deduplicating reveals your total unique respondent count.

Backing up form data. Even if Fillout integrations push data to Airtable or Google Sheets, having a separate extracted email list provides an independent backup.

Cross-referencing with existing contacts. Combining form respondent email addresses with exports from your CRM or email platform shows which respondents are already in your system and which are new leads.

How to Export from Fillout

Fillout allows form owners to export submission data.

Exporting submissions

  1. Log in to Fillout.
  2. Go to the form whose responses you want to export.
  3. Navigate to the Results (or Submissions) tab.
  4. Click Export (or the download button).
  5. Choose CSV as the format.
  6. Download the file.

Export fields

The exported file includes one row per submission and one column per form field. If your form collects name, email, phone and custom fields, all appear as columns in the export.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file (or files, if you exported from multiple forms). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.

Working with the Results

Import into a CRM or email platform

The extracted list can be imported into HubSpot, Salesforce, Mailchimp, ActiveCampaign or any platform that accepts CSV imports. Since the extraction produces email addresses only, names and other form data are not carried over.

Combine multiple forms

If you run separate Fillout forms for different campaigns, events or products, upload all exports together. Deduplication shows how many unique respondents you have across all forms.

Compare with integrated tools

If your Fillout forms push data to Airtable, Notion or another tool, export from both Fillout and the destination tool. Comparing the extracted lists confirms whether all submissions made it through the integration.

Track form growth

Export submissions periodically, extract, and compare with previous periods. New addresses represent new leads.

Things to Know

Column headers are not extracted

Column headers from Fillout exports are text labels, not email addresses, so they do not appear in the extracted results.

Respondent data is not preserved

Email Extractor outputs email addresses only. Names, phone numbers, custom fields, file uploads and other submission details from the Fillout export are not carried over.

Forms without email fields

If a Fillout form does not include an email field, the export will not contain email addresses. Rows without email addresses contribute nothing to the extraction.

Partial submissions

Depending on your Fillout settings, partial submissions (started but not completed) may or may not be included in exports. Partial submissions may have empty email fields.

Fillout's integrations

Fillout integrates with many tools (Airtable, Google Sheets, Notion, HubSpot, Salesforce, Slack, Zapier). If integrations are active, your form data may already flow to other platforms. Extraction is useful for consolidation, verification and backup, even when integrations are running.

Duplicate submissions

If the same person submits a form multiple times, each submission appears in the export. Email Extractor deduplicates automatically.
