How to Import Extracted Emails into HubSpot

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

The Workflow

After extracting email addresses from files using Email Extractor, a common next step is importing them into a CRM. HubSpot CRM is widely used for contact management, sales pipelines and marketing automation. This guide covers how to take an extracted email list and import it into HubSpot.

Before You Import

Review the list

An extracted email list contains every email address found in the source files. Before importing into HubSpot, review the list and remove addresses that should not become CRM contacts:

  • System-generated addresses (noreply@, mailer-daemon@, do-not-reply@).
  • Role-based addresses (info@, sales@, support@) unless you specifically want to track them. See Role-based email addresses explained.
  • Internal addresses (your own team's email addresses, unless you want them as contacts for internal tracking).
  • Irrelevant addresses (vendor contacts, automated notification addresses, or addresses from unrelated source files).

Understand how HubSpot handles contacts

HubSpot uses the email address as the unique identifier for contacts. If you import an address that already exists in your HubSpot account, HubSpot will update the existing contact record rather than creating a duplicate. This is useful for enriching existing contacts but means you should be aware of what data might be overwritten.

Consider adding a header row

Email Extractor's CSV download contains one email address per row with no header. HubSpot's import wizard can usually detect the email column automatically, but adding a header row makes the mapping step clearer.

To add a header, open the CSV file in a text editor or spreadsheet application and add "Email" as the first line, then save.

How to Import

  1. Log in to HubSpot and go to Contacts.
  2. Click Import in the upper right.
  3. Select Start an import.
  4. Choose File from computer.
  5. Select One file and One object (Contacts).
  6. Upload the CSV file downloaded from Email Extractor.
  7. HubSpot will preview the data and ask you to map columns to HubSpot properties. Map the email column to the Email property. If you added a header row, HubSpot may map it automatically.
  8. If you downloaded CSV with sources from Email Extractor, the second column (source file name) can be mapped to a custom property or skipped.
  9. Choose how to handle duplicates:
    • Create and update will create new contacts for new addresses and update existing contacts if they match.
    • Create only will skip addresses that already exist.
  10. Optionally, assign a list for the imported contacts to be added to.
  11. Review and confirm the import.

HubSpot processes the import and displays a summary showing how many contacts were created, updated and skipped.

After Importing

Check the import summary

HubSpot provides a detailed summary after import:

  • Created -- new contact records for addresses that did not exist in HubSpot.
  • Updated -- existing contacts whose records were updated (if "create and update" was selected).
  • Errors -- rows that could not be processed, typically due to invalid email formatting.

Review the errors to see if any addresses need attention.

Tag or list the imported contacts

Create a static list or apply a tag/property to imported contacts (e.g., "Source: Extracted from project files" or "Import date: Oct 2026"). This helps you track, segment and evaluate these contacts separately from contacts that entered HubSpot through forms, integrations or manual entry.

HubSpot's import wizard offers an option to add imported contacts to a list during the import process. Use this if you want them in a specific list.

Set lifecycle stage and lead status

HubSpot uses lifecycle stages (Subscriber, Lead, MQL, SQL, Opportunity, Customer, Evangelist) and lead status (New, Open, In Progress, etc.) to track where contacts are in your pipeline. Imported contacts default to a lifecycle stage based on your HubSpot settings.

If the imported contacts are leads who have not been qualified, you may want to set their lifecycle stage to "Lead" and lead status to "New" during or after import. If they are existing customers, set the stage accordingly.

Monitor for bounces

If you plan to send email through HubSpot to the imported contacts, watch for bounces. HubSpot tracks hard and soft bounces and will automatically suppress contacts that hard-bounce. A high bounce rate on the first send to imported contacts can affect your HubSpot sending reputation.

Common Issues

"Email address is not valid" errors

HubSpot validates email addresses during import. Addresses with unusual formatting, extra spaces, or special characters may be rejected. Check the error report for specific addresses and fix or remove them from the file before re-importing.

Duplicate contacts

HubSpot prevents duplicate contacts based on email address. If an imported address matches an existing contact, HubSpot updates the existing record rather than creating a new one. This is generally desirable, but be aware that any properties you map during import will overwrite the existing values for those contacts.

Contact limits

HubSpot's free CRM has a contact limit for marketing contacts (contacts you can send marketing emails to). Non-marketing contacts are unlimited on most plans. If your import would exceed your marketing contact limit, HubSpot will prompt you to either upgrade or import the contacts as non-marketing contacts. Non-marketing contacts can still be managed in the CRM but cannot receive marketing emails.

Missing names

Since Email Extractor outputs email addresses only, imported contacts will have an email address but no name. You can enrich these records later by adding names manually, through data enrichment tools, or through subsequent form submissions by the same contacts. HubSpot will display the email address as the contact's primary identifier until a name is added.
