How to Import Extracted Emails into Mailchimp

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

The Workflow

After extracting email addresses from files using Email Extractor, the next step is often importing them into an email marketing platform. Mailchimp is one of the most widely used platforms for this purpose. This guide covers how to take an extracted email list and import it into a Mailchimp audience.

Before You Import

Review the list

An extracted email list contains every email address found in the source files. Before importing into Mailchimp, review the list and remove addresses that should not receive marketing emails:

  • System-generated addresses (noreply@, mailer-daemon@, do-not-reply@).
  • Role-based addresses (info@, sales@, support@) unless you have a specific reason to include them. See Role-based email addresses explained.
  • Internal and staff addresses that ended up in the source files.
  • Vendor and partner addresses that are not appropriate for your Mailchimp campaigns.
  • Addresses you know have bounced or are invalid.

Confirm consent

Mailchimp requires that you have permission to email the contacts you import. Their acceptable use policy prohibits importing purchased, rented or scraped lists. Before importing, confirm that:

  • The people on the list have given consent to receive email from you.
  • The consent covers the type of email you plan to send (marketing vs. transactional).
  • The consent is still current. Old lists where contacts have not heard from you in years may generate complaints and bounces.

Choose a download format

Email Extractor offers three download formats:

  • TXT -- a plain list with one address per line. Mailchimp accepts this format.
  • CSV -- a single-column CSV file. Mailchimp accepts this format.
  • CSV with sources -- a two-column CSV with addresses and source file names. Mailchimp can import this, but the source column will be treated as a data field unless you remove it first.

For a straightforward import, download as CSV. This is the format Mailchimp handles most smoothly.

How to Import

  1. Log in to Mailchimp and go to Audience.
  2. Select the audience you want to import into, or create a new one.
  3. Click Add contacts and select Import contacts.
  4. Choose Upload a file (CSV or TXT).
  5. Select the CSV or TXT file downloaded from Email Extractor.
  6. Mailchimp will preview the data. It should detect the email column automatically. If you uploaded a plain CSV from Email Extractor, there will be one column of email addresses.
  7. Map the column to the Email Address field. If there is only one column, Mailchimp typically maps it automatically.
  8. Choose the subscription status for imported contacts. Mailchimp offers options like "Subscribed" (contacts will receive campaigns immediately) and "Non-subscribed" (contacts are stored but do not receive campaigns unless you change their status).
  9. Choose whether to update existing contacts (if any imported addresses already exist in the audience).
  10. Review and confirm the import.

Mailchimp processes the import and reports how many contacts were added, updated, or skipped.

After Importing

Check for errors

After the import completes, Mailchimp provides a summary showing how many contacts were imported, how many were skipped, and why. Common skip reasons include:

  • Already in the audience. The address already exists. If you selected "update existing," their record was updated rather than skipped.
  • Previously unsubscribed. The address unsubscribed from this audience in the past. Mailchimp will not re-subscribe them through an import, because doing so would override their opt-out.
  • Previously bounced. The address has bounced in this audience before. Mailchimp will not re-add it.
  • Cleaned. The address was marked as cleaned (permanently failed delivery) in this audience.

Tag imported contacts

After importing, apply a tag to the imported contacts (e.g., "Imported Oct 2026" or "From event sign-ups"). This makes it easy to identify, segment and track these contacts later. You can apply a tag during the import process or afterwards.

Monitor engagement

Watch the performance of your first campaign to the imported list. High bounce rates, spam complaints or low engagement may indicate problems with the list quality. See Email deliverability checklist.

Warm up gradually

If you are importing a large list into a new or low-volume Mailchimp account, send to the list in stages rather than all at once. Sending a large volume of email from a new sender address or domain can trigger spam filters. See What is email warm-up?.

Common Issues

"Previously unsubscribed" contacts

Mailchimp does not allow you to re-subscribe someone who has unsubscribed from the same audience, even through a file import. This is by design and required by anti-spam regulations. If you believe the person wants to re-subscribe, they must do so themselves through a sign-up form.

Duplicate handling

If an address in your imported file already exists in the Mailchimp audience, Mailchimp does not create a duplicate. It either updates the existing record or skips it, depending on the option you chose during import.

Format issues

If Mailchimp does not recognise the email column, check the file format. The CSV from Email Extractor contains one email address per row with no header. Mailchimp should handle this automatically, but if it does not, open the file in a text editor and add "Email Address" as the first line, then re-upload.

Import limits

Mailchimp's free plan has an audience size limit. If your imported list would exceed the limit, you will need to upgrade to a paid plan or reduce the list size before importing.
