How to Import Extracted Emails into Zoho Campaigns

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.
Why Import into Zoho Campaigns?
Zoho Campaigns is the email marketing component of the Zoho ecosystem. It provides email campaign creation, automation workflows, A/B testing, contact management, segmentation, signup forms, landing pages, analytics and integration with other Zoho products (Zoho CRM, Zoho Desk, Zoho Analytics, etc.). Zoho Campaigns is used by businesses of all sizes, especially those already using other Zoho products.
After extracting email addresses with Email Extractor, you can import them into Zoho Campaigns to build a mailing list, create email campaigns and set up automation workflows.
Preparing the File
Email Extractor gives you three download formats:
TXT file. One email per line. Can be imported into Zoho Campaigns.
CSV file. One column of email addresses. Works well for import.
CSV with sources. Two columns: email and source file. Import this if you want to keep source information, but map only the email column during import.
For Zoho Campaigns, CSV is the recommended format.
How to Import
- Log in to Zoho Campaigns.
- Go to Contacts in the left menu.
- Click Manage Lists and then create a new mailing list, or select an existing one.
- Click Add Contacts and choose Import.
- Select the import method: upload a CSV or TXT file.
- Upload the file exported from Email Extractor.
- Map the email column to the Email Address field. If using the plain CSV, the single column maps to email. If using CSV with sources, map only the email column.
- Review the import settings and click Import.
- Zoho Campaigns processes the import and shows how many contacts were added, updated or skipped.
After Import
Verify the list
Zoho Campaigns does not have built-in email verification on the same level as dedicated verification services. Consider verifying the list before import using an external verification service. See Best email verification services.
Clean the list
Zoho Campaigns provides list management tools. After import, review for bounces, unsubscribes and inactive contacts from any previous campaigns.
Segment the list
Zoho Campaigns supports segmentation based on contact fields, campaign engagement and custom criteria. Create segments to send targeted campaigns.
Set up automation
Zoho Campaigns automation workflows trigger actions based on events (contact joins list, opens email, clicks link, reaches a date). Set up a welcome workflow for newly imported contacts.
Create a campaign
With contacts imported, create an email campaign: choose a template or design from scratch, write the content, select the mailing list and schedule or send.
Things to Know
Zoho ecosystem
Zoho Campaigns integrates with other Zoho products. Contacts can sync between Zoho CRM and Zoho Campaigns bi-directionally. If you use Zoho CRM, consider whether to import into the CRM instead and sync to Campaigns.
Mailing lists
Zoho Campaigns organises contacts into mailing lists. A contact can belong to multiple lists. Importing adds contacts to the selected list.
Import limits
Zoho Campaigns may have import limits based on your plan. Free plans have contact limits. Check your plan's limits before importing large lists.
Compliance
Zoho Campaigns enforces anti-spam policies. Imported lists must comply with these policies. Contacts must have given consent to receive emails. Purchased or scraped lists may be rejected.
Topic management
Zoho Campaigns supports topics (interest categories) that contacts can subscribe to or unsubscribe from. This helps manage consent at a granular level.
Merge tags
Zoho Campaigns uses merge tags for personalisation. Since Email Extractor outputs email addresses only, personalisation fields (name, company) will not be populated unless you add them separately.
Email Extractor does not establish consent
Extracting email addresses does not create permission to send marketing emails. Ensure you have appropriate consent before sending campaigns through Zoho Campaigns. See Consent types explained.
Sync with Zoho CRM
If you use Zoho CRM, you can sync contacts between Zoho CRM and Zoho Campaigns. Importing into one platform can update the other. Decide which platform is the primary source of truth for your contacts.
