How to Import Extracted Emails into Zoho CRM

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Import into Zoho CRM?

After extracting email addresses from files using Email Extractor, you may want to bring them into Zoho CRM for lead management, sales pipeline tracking, deal management or customer relationship management. Zoho CRM is a cloud-based CRM platform used by businesses of all sizes, part of the broader Zoho suite of business applications.

Importing an extracted email list into Zoho CRM lets you create lead or contact records, assign them to sales team members, add them to workflows, track interactions and manage them through your sales pipeline.

Before You Import

Prepare the file

Email Extractor produces a file with email addresses only. Zoho CRM accepts CSV and XLS file imports. Email is one of the key fields for creating records.

  1. Extract email addresses using Email Extractor at bulkemailextractor.com.
  2. Download the results as CSV.
  3. The CSV contains one email address per row. This is ready for Zoho CRM import.

If you have names, companies or other data in a separate file and want to include them, combine the files in a spreadsheet application before importing.

Decide on module

Zoho CRM organises data into modules: Leads, Contacts, Accounts and more. Decide where to import.

Leads are for new, unqualified prospects. If the extracted addresses are from people who have not yet been vetted or contacted, import them as leads. This is the most common choice for extracted lists.

Contacts are for established relationships (customers, partners, vendors). If the extracted addresses are from people your organisation already has a relationship with, import them as contacts.

Consider verification

If the extracted emails come from old files or uncertain sources, verify the list before importing. Importing invalid addresses wastes CRM records and can cause issues if you send emails through Zoho CRM. See Best email verification services.

How to Import

  1. Log in to Zoho CRM.
  2. Go to the module you want to import into (e.g., Leads or Contacts).
  3. Click the Import button (or go to Setup > Data Administration > Import).
  4. Select Import from file and upload your CSV.
  5. Zoho CRM shows a field mapping screen. Map the email column to the Email field. If your file has only one column with email addresses, map it to the primary email field.
  6. Choose how to handle duplicates:
    • Skip duplicates (do not import if a record with the same email exists).
    • Overwrite existing records (replace existing data with imported data).
    • Clone (create a new record even if a duplicate exists). For a first import from an extracted list, "Skip" is usually the safest choice.
  7. Optionally set default values for required fields. Zoho CRM may require a Last Name field for leads. If your file has email addresses only, you can set a placeholder last name (e.g., "Unknown" or "TBD") during import and update records later.
  8. Review the import settings and start the import.
  9. Zoho CRM processes the file and shows an import summary with counts of created, updated, skipped and failed records.

After Import

Review imported records

Go to the Leads (or Contacts) module and filter by creation date or a tag/source you set during import. Verify that the records look correct.

Update required fields

If you used placeholder values for required fields (like Last Name), update those records as you learn more about each lead. You can update individually or use Zoho CRM's mass update feature.

Set the lead source

Mark imported leads with a source (e.g., "Extracted list" or "File import"). This helps you track where leads came from and measure conversion rates by source.

Assign to team members

If you have a sales team, assign imported leads to specific team members or use Zoho CRM's assignment rules to distribute them automatically. Unassigned leads may be overlooked.

Add to workflows or blueprints

Zoho CRM supports workflows (automated actions triggered by record events) and blueprints (guided processes). Decide whether imported leads should enter any existing workflows. Check your workflow trigger conditions to ensure imported leads are handled as intended.

Plan your outreach

If you plan to email imported leads through Zoho CRM's built-in email features or through Zoho Campaigns, start with a small batch to test deliverability. Monitor bounces and unsubscribes before emailing the full list.

Things to Know

Required fields

Zoho CRM requires certain fields for each module. For leads, typically Last Name and Company are required. For contacts, Last Name is required. Since Email Extractor outputs email addresses only, you may need to provide default values for these required fields during import. Records with missing required fields will fail to import.

Duplicate detection

Zoho CRM uses the email field (among others) for duplicate detection. If an email address already exists in the module, the import respects your duplicate handling choice (skip, overwrite, or clone). This prevents accidental duplicates.

Import limits

Zoho CRM has import limits that vary by plan. Free plans may limit the number of records per import or per month. Check your plan's limits before importing a large list.

Leads vs Contacts conversion

If you import addresses as leads and later qualify them, you can convert them to contacts within Zoho CRM. This is part of the standard lead management workflow. Converted leads create a contact record and optionally an account and deal.

Zoho CRM and Zoho Campaigns

If you also use Zoho Campaigns (Zoho's email marketing tool), Zoho CRM contacts can sync with Zoho Campaigns lists. Importing into Zoho CRM may make these contacts available for marketing campaigns through the integration.

No automatic enrichment

Zoho CRM does not automatically enrich imported records with company information, social profiles or other data. If you import email addresses only, the records will contain just the email address and any default values you set during import. Zoho's Zia AI features may suggest enrichment for some records, depending on your plan.

Audit trail

Zoho CRM logs imports in the audit trail. You can review past imports, see who performed them and download import reports showing which records were created, updated, skipped or failed.
