How to Extract Emails from a Zoho CRM Export

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Zoho CRM?

Zoho CRM stores contact data across several modules: Leads, Contacts, Accounts and Vendors, among others. Each module holds records with email addresses alongside names, phone numbers, company details, deal stages, custom fields and activity history. Over years of use, a Zoho CRM account accumulates thousands of records across these modules.

Extracting just the email addresses is useful for several scenarios.

Migrating to another CRM. When switching from Zoho CRM to another platform, a clean email list is often needed as a starting point or a cross-reference alongside the full data migration.

Consolidating across modules. Zoho CRM separates leads and contacts into different modules. A lead converted to a contact may appear in both. Extracting and deduplicating across modules produces a single list of unique addresses.

Building an email marketing list. While Zoho CRM integrates with Zoho Campaigns and other email platforms, you may want a standalone email list for use with a different marketing tool.

Combining with other data sources. If contacts come in through Zoho CRM, a form builder, an email inbox and event sign-up sheets, extracting from all sources and deduplicating produces one complete list.

Auditing contact data. Extracting all email addresses from a Zoho CRM export provides a quick count of unique contacts across the system, which is useful for licence reviews and data quality assessments.

How to Export from Zoho CRM

Zoho CRM provides export functionality for each module.

Exporting Contacts or Leads

  1. Log in to Zoho CRM.
  2. Navigate to the module you want to export (e.g., Contacts, Leads, Vendors).
  3. Click the three-dot menu or the Actions button and select Export.
  4. Choose your export options:
    • All records exports every record in the module.
    • Filtered records exports only records matching the current view or filter.
  5. Select CSV as the format (Zoho also offers XLSX).
  6. Click Export and download the file.

Repeat for each module that contains email addresses.

Exporting from multiple modules

Zoho CRM keeps leads, contacts, accounts and vendors in separate modules. If you want a complete list of all email addresses in the system, export each module individually:

  • Leads -- prospects who have not yet been qualified or converted.
  • Contacts -- qualified contacts, often linked to accounts.
  • Vendors -- supplier and vendor contacts.
  • Accounts -- company records, which may have a primary email address.

Upload all the exported files in a single extraction to get a deduplicated list across all modules.

Export fields

Zoho CRM records can have multiple email fields. The standard fields include "Email" and "Secondary Email" for leads and contacts. Custom fields may include additional email addresses. All of these appear as separate columns in the CSV export, and Email Extractor scans all columns.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or XLSX file (or files, if you exported from multiple modules). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically. A lead who was converted to a contact (and thus appears in both module exports) will be listed only once.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which module export each address came from.

Working with the Results

Track which module each contact came from

If you export each Zoho CRM module separately and upload all the files in one extraction, downloading as CSV with sources shows which module's export file each address appeared in. This helps you see how contacts are distributed across leads, contacts and vendors.

Identify converted leads

Zoho CRM converts leads into contacts when they are qualified. If you export both modules, some addresses may appear in both the Leads and Contacts exports. Deduplication handles this automatically. If you need to know which addresses exist in both, compare the CSV-with-sources output against the individual module exports.

Combine with Zoho Campaigns or other tools

If you use Zoho Campaigns, Zoho Mail, or a third-party email marketing platform alongside Zoho CRM, export from each and upload all files in a single extraction. This reveals the total number of unique contacts across all your Zoho products and any external tools.

Prepare for a CRM migration

When migrating from Zoho CRM to another platform, extracting email addresses from all modules provides a master reference list. After the migration, extract from the new CRM and compare the two lists to verify that no contacts were lost in the transfer.

Things to Know

Column headers are not extracted

CSV column headers like "Email" or "Secondary Email" are text, not email addresses, so they do not appear in the extracted results.

Names and deal data are not preserved

Email Extractor outputs email addresses only. Contact names, company names, deal stages, revenue figures, custom fields and activity history from the Zoho CRM export are not carried over. If you need those fields in your new system, import the original CSV files directly.

Record ownership and permissions

Depending on your Zoho CRM role and permissions, you may not be able to export all records. Administrators can typically export all records, while standard users may be limited to records they own. If you need a complete export, coordinate with your Zoho CRM administrator.

Inactive and converted records

Zoho CRM exports may include records for inactive contacts, lost deals and converted leads. Review whether these addresses are still relevant before using the extracted list for outreach.

Zoho CRM free vs. paid plans

Export functionality may vary by Zoho CRM plan. Some plans limit the number of records that can be exported at once. If you hit a limit, export in batches using filtered views.
