How to Extract Emails from Airtable

Why Extract from Airtable?
Airtable is a flexible database platform used by teams and individuals to manage contacts, track projects, organise content calendars, handle CRM workflows and run operational processes. Because Airtable bases are customisable, email addresses can live in any number of tables and fields: a "Contacts" table, a "Leads" table, a "Speakers" table, a "Vendors" table, or scattered across linked records in different tables.
Extracting just the email addresses from an Airtable base is useful in several scenarios.
Consolidating contacts across tables. A single Airtable base may have contacts spread across multiple tables (clients in one, prospects in another, vendors in a third). Extracting from all of them produces a single deduplicated list.
Migrating to a dedicated CRM or email platform. When an Airtable base has outgrown its role as a contact manager and you are moving contacts to a CRM or email marketing platform, a clean email list is a useful starting point.
Combining Airtable data with other sources. If contacts come in through Airtable, a form builder, an email inbox and a spreadsheet, extracting from all sources and deduplicating gives you one complete list.
Preparing for outreach. When you need a simple email list from a complex Airtable base with many fields and linked records, extraction produces just the addresses without the surrounding data structure.
How to Export from Airtable
Airtable allows you to export views from each table as CSV files.
- Open the Airtable base containing the contacts you want to extract.
- Navigate to the table with the email addresses (e.g., a "Contacts" or "Leads" table).
- Select the view you want to export. You can create a filtered view first to limit the export to specific records (e.g., only active clients, only leads from a certain source).
- Click the three-dot menu (...) on the view toolbar.
- Select Download CSV.
- The CSV file downloads to your computer.
Repeat for each table that contains email addresses.
Exporting multiple tables
If email addresses are spread across several tables in your base (Contacts, Leads, Vendors, Speakers), export each table separately. You can upload all the CSV files in a single extraction to get a deduplicated list across all tables.
Views and filters
The export reflects whatever view you have selected, including any filters, sorts, hidden fields and grouped records. If you want all records, use the default grid view with no filters. If you want a subset, apply filters first. Hidden fields are not included in the CSV export, so make sure the email column is visible in the view you are exporting.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file (or files, if you exported from multiple tables). Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically. If the same address appears in multiple tables, it shows up only once.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which table export each address came from.
Working with the Results
Track which table each contact came from
If you export each Airtable table separately and upload all the CSV files in one extraction, downloading as CSV with sources shows which table's export file each address appeared in. This helps you distinguish clients from leads from vendors.
Handle linked records
Airtable uses linked records to connect entries across tables. When you export a table as CSV, linked record fields show the display value of the linked record (usually a name or identifier), not the linked record's email address. If an email address exists only in a linked table, you need to export that table separately to capture it.
Combine with other tools
Upload your Airtable exports alongside exports from other platforms (Google Contacts, Mailchimp, HubSpot, a spreadsheet) in a single extraction. Deduplication ensures each address appears only once, even if the same contact exists across multiple systems.
Use filtered views for segmented lists
Create filtered views in Airtable before exporting to produce segmented lists. For example:
- A view filtered to "Status = Active" for current contacts.
- A view filtered to "Source = Conference" for contacts met at events.
- A view filtered to "Type = Vendor" for supplier contacts.
Export each view and upload them separately if you want to track the segment through the CSV-with-sources download.
Things to Know
Column headers are not extracted
CSV column headers like "Email" or "Primary Contact" are text, not email addresses, so they do not appear in the extracted results.
Other fields are not preserved
Email Extractor outputs email addresses only. Names, company names, status fields, tags, linked records, attachments and other Airtable fields are not carried over. If you need those fields, work with the original CSV file directly.
Formula and rollup fields
If an email address is generated by a formula field or pulled in via a rollup or lookup field in Airtable, it will appear in the CSV export as a regular value and will be extracted normally.
Multiple email fields per record
Some Airtable bases have multiple email fields per record (e.g., "Work Email" and "Personal Email"). Email Extractor scans all columns and extracts every email address found. Each unique address appears once in the results.
Attachment fields
Airtable supports file attachments in records. These attachments are not included in the CSV export, so any email addresses within attached documents (PDFs, Word files) will not be captured by this process. To extract from those files, download the attachments separately and upload them to Email Extractor directly.
