How to Extract Emails from a Baserow Export

On this page

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Baserow?

Baserow is an open-source, no-code database platform similar to Airtable. Teams use it to build CRMs, project trackers, inventory systems, contact databases and other custom applications. Baserow tables can include email fields, text fields, numbers, dates, file attachments, links to other tables and formula fields. It can be self-hosted or used as a cloud service.

Extracting email addresses from Baserow data is useful in several scenarios.

Migrating to another tool. When switching from Baserow to Airtable, Notion, Google Sheets or a dedicated CRM, extracting email addresses helps verify migration completeness.

Building an email list from a Baserow table. If your team tracks contacts, clients, leads, members or event attendees in a Baserow table, extracting gives you a clean email list to import into an email marketing platform or CRM.

Consolidating data across tables. If different projects or departments maintain separate Baserow tables with contact information, extracting from each and deduplicating reveals your total unique email-address count.

This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.

Backing up contact data. Exporting and extracting email addresses provides a simple backup independent of the Baserow instance, which is especially useful for self-hosted setups.

How to Export from Baserow

Baserow allows you to export data from tables.

Exporting a table

  1. Open the Baserow database containing the table with email addresses.
  2. Click on the table you want to export.
  3. Click the Export button (or use the grid view's export option).
  4. Choose CSV as the format. Baserow may also support JSON export.
  5. Configure export settings (e.g., which view to export, separator character).
  6. Download the file.

Export fields

The exported file includes all fields (columns) from the Baserow table. If your table has an email field, a name field, a company field and custom fields, all appear as columns in the CSV.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file (or multiple files from different Baserow tables). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which table export each address came from.

Working with the Results

Import into a CRM

The extracted list can be imported into HubSpot, Salesforce, Pipedrive, Zoho CRM or any CRM that accepts CSV imports. This is useful when your team has outgrown a Baserow-based contact tracker and wants to move to a dedicated CRM.

Import into an email platform

Import the list into Mailchimp, ActiveCampaign, MailerLite or another email marketing platform to start sending campaigns to contacts stored in Baserow.

Compare with other databases

If you use Baserow alongside other tools (Airtable, Google Sheets, a CRM), export from each, extract, and compare. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Confirm subscription or membership status in the original records; matching addresses alone do not establish a current active membership.

Combine multiple tables

Upload CSV exports from multiple Baserow tables or databases together. Deduplication shows your total unique email-address count across all tables.

Things to Know

Column headers are not extracted

CSV column headers from Baserow are text, not email addresses, so they do not appear in the extracted results.

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, phone numbers, dates, linked records, formula results and other fields from the Baserow table are not carried over.

Email field type

Baserow has a dedicated Email field type that validates email addresses on input. If your table uses this field type, the exported data in that column will contain properly formatted email addresses. If email addresses are stored in a plain text field instead, the export may include non-email content in that column, but Email Extractor collects strings that match its email pattern; it does not validate their syntax or deliverability.

Linked tables

If your Baserow database uses linked tables (one table referencing rows from another), the export of one table may include row identifiers from the linked table rather than the actual email addresses stored there. Export the table that directly contains the email field for best results.

Views and filters

Baserow tables can have multiple views with different filters, sorts and hidden fields. The export may reflect the current view. Switch to an unfiltered view showing all rows and columns before exporting to ensure nothing is missed.

Self-hosted instances

If you self-host Baserow, the export process is the same as the cloud version. The data never leaves your server until you download the export file. This is relevant for organisations with data sovereignty requirements.

Formula fields

Baserow supports formula fields that compute values from other fields. If a formula concatenates or generates email addresses, those computed values are included in the export and can be extracted.
