How to Extract Emails from a Coda Export

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Coda?

Coda is a collaborative document platform that combines documents, spreadsheets and applications in one tool. Teams use Coda to build project trackers, CRM-like databases, meeting notes, wikis and custom workflows. Coda tables can store contact information including email addresses, names, companies, dates and custom fields.

Extracting email addresses from Coda data is useful in several scenarios.

Migrating to another tool. When switching from Coda to Airtable, Notion, Google Sheets or a dedicated CRM, extracting email addresses helps verify migration completeness.

Building an email list from a Coda table. If your team tracks contacts, leads, event attendees or members in a Coda table, extracting gives you a clean email list to import into an email marketing platform or CRM.

Consolidating data across Coda docs. If different teams or projects maintain separate Coda docs with contact information, extracting from each and deduplicating reveals your total unique email-address count.

This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.

Backing up contact data. Exporting and extracting email addresses provides a simple backup independent of the Coda platform.

How to Export from Coda

Coda allows you to export data from individual tables or entire documents.

Exporting a table

  1. Open the Coda doc containing the table with email addresses.
  2. Click on the table you want to export.
  3. Right-click on the table (or use the table options menu).
  4. Select Download as CSV (or Export).
  5. The table data downloads as a CSV file with one row per record and one column per field.

Exporting an entire doc

  1. Open the Coda doc.
  2. Go to the doc's settings or options menu.
  3. Choose Export and select the format (CSV, PDF or other options).
  4. For email extraction, CSV is the best format.

Export fields

The exported file includes all visible columns from the Coda table. If your table has columns for email, name, company, status, dates and custom fields, all of them appear in the export.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file (or multiple files from different Coda docs). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which export each address came from.

Working with the Results

Import into a CRM

The extracted list can be imported into HubSpot, Salesforce, Pipedrive, Zoho CRM or any CRM that accepts CSV imports. This is useful when your team has been tracking contacts in Coda and wants to move to a dedicated CRM.

Import into an email platform

Import the list into Mailchimp, ActiveCampaign, MailerLite or another email marketing platform to start sending campaigns to contacts stored in Coda.

Combine multiple Coda docs

If different departments maintain separate Coda docs with contacts (sales in one doc, marketing in another, support in a third), upload all exports together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Confirm subscription or membership status in the original records; matching addresses alone do not establish a current active membership.

Compare with other tools

If you use Coda alongside a CRM, export from both, extract, and compare. This reveals contacts that exist in one system but not the other.

Things to Know

Column headers are not extracted

CSV column headers from Coda are text, not email addresses, so they do not appear in the extracted results.

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, statuses, dates, formulas and other column data from the Coda table are not carried over. If you need those fields, import the original CSV directly.

Formula columns

Coda tables can include formula columns that compute values. These columns are exported as their computed values. If a formula generates an email address from other fields, the result is included in the export and can be extracted.

Linked tables

If your Coda doc uses linked tables (one table referencing rows from another), the export of one table may include references to rows in another table rather than the actual email addresses. Export the table that directly contains the email column for best results.

Views and filters

Coda tables can have multiple views with different filters and sorts. The export typically reflects the current view. If your view is filtered, only visible rows are exported. Switch to a view showing all rows before exporting to ensure nothing is missed.

Buttons and automations

Coda supports buttons and automations that can modify data. These are not included in a CSV export. Only the current state of the data is exported.

Coda packs

Coda integrates with external services through Packs (e.g., Gmail, Slack, Salesforce). Data pulled in through Packs appears in tables and is included in exports just like any other data.
