How to Extract Emails from Formsite Responses

Why Extract from Formsite?
Formsite is an online form builder used to create registration forms, surveys, order forms, application forms and other data collection tools. It has been around since 1998 and is used by businesses, schools, government agencies and nonprofits. Formsite stores all form submissions in its Results section, where responses can be viewed, searched and exported.
Extracting email addresses from Formsite results is useful in several scenarios.
Building a contact list. Registration forms, sign-up forms, inquiry forms and lead capture forms all collect email addresses. Extracting gives you a clean list to import into a CRM or email marketing platform.
Consolidating responses across forms. If you run multiple Formsite forms for different purposes (event registration, newsletter sign-up, contact form, application form), extracting from each and deduplicating reveals your total unique respondent count.
Backing up form data. Even if Formsite integrations push data to other tools, having a separate extracted email list provides an independent backup.
Migrating to another form builder. When switching from Formsite to Typeform, JotForm, Google Forms or another builder, extracting your respondent email addresses ensures no contacts are lost.
How to Export from Formsite
Formsite provides export options for form results.
Exporting results
- Log in to Formsite.
- Go to the form whose results you want to export.
- Navigate to Results (or Results > Get results).
- Click Export (or Download).
- Choose the export format. CSV is the most compatible with Email Extractor. Formsite may also offer Excel format.
- Select which fields to include, or export all fields.
- Choose a date range if you want to export only a subset of results.
- Download the file.
Export fields
The exported file includes one row per submission and one column per form field. If your form collects email, name, phone, address and custom fields, all appear as columns. Formsite may also include metadata columns such as submission ID, date, time, status, IP address and referrer.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file (or multiple files from different forms). Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.
Working with the Results
Import into a CRM or email platform
The extracted list can be imported into HubSpot, Salesforce, Mailchimp, ActiveCampaign or any platform that accepts CSV imports. Since the extraction produces email addresses only, names and other form data are not carried over.
Combine responses from multiple forms
If you run several Formsite forms for different purposes, upload all exports together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.
Compare with existing contacts
Export from your CRM or email platform and extract alongside the Formsite data. Comparing the two lists shows which form respondents are already in your system and which are new leads.
Track growth over time
Export results periodically, extract, and compare. New addresses represent new respondents since the last export.
Things to Know
Column headers are not extracted
Column headers from Formsite exports are text labels, not email addresses, so they do not appear in the extracted results.
Respondent data is not preserved
Email Extractor outputs email addresses only. Names, phone numbers, addresses, form field responses, file uploads and metadata from the Formsite export are not carried over.
Notification emails
Formsite can send notification emails to form owners when results are submitted. These notification emails may include respondent email addresses in the body. If you have saved notification emails as EML or MSG files, those can also be uploaded to Email Extractor. Email Extractor processes the text content of EML and MSG files but does not extract from attachments within them.
Order forms and payment data
Formsite supports order forms with payment integration. Exports of order forms may include pricing, product and payment status columns. These do not affect email extraction, but be aware that the export may contain sensitive order information.
Conditional logic
Formsite forms can use conditional logic to show or hide fields based on previous answers. If an email field is conditionally shown, responses where the field was hidden will have an empty cell for that column. Empty cells do not affect extraction.
Result limits
Formsite plans have limits on the number of results stored. If your form has more results than your plan allows, older results may be archived or deleted. Export regularly to avoid losing data.
Duplicate submissions
If the same person submits a form multiple times, each submission appears in the export. Email Extractor deduplicates automatically.
