How to Extract Emails from JotForm Submissions
On this page
Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.
Why Extract from JotForm Submissions?
JotForm is a form builder used for contact forms, registration forms, application forms, order forms, surveys, appointment requests, payment forms and lead capture. When respondents submit a JotForm, their answers are stored in the JotForm platform, including any email addresses they provide.
Over time, a JotForm account accumulates submissions across many forms. Extracting the email addresses from these submissions is useful in several scenarios.
Building a contact list from multiple forms. If you run several JotForms (a contact form, an event registration, a job application, a customer survey), email addresses are spread across separate forms. Extracting from all of them produces a single deduplicated list.
Catching contacts missed by integrations. JotForm integrates with many platforms, but integrations may not have been active from the start, may have experienced sync failures, or may not have been configured for every form. Exporting and extracting captures every email address regardless of integration status.
Migrating from JotForm. If you are switching form builders or consolidating platforms, extracting all email addresses from historical submissions ensures nothing is lost.
Combining with other sources. If contacts arrive through JotForm, another form builder, email correspondence and manual data entry, extracting from all sources and deduplicating produces one complete list.
How to Export from JotForm
JotForm allows you to export submissions from each form.
- Log in to JotForm and go to My Forms.
- Click on the form whose submissions you want to export.
- Click the Submissions tab to view all responses.
- Click the Download button (or the export icon).
- Choose CSV or Excel as the export format. Either works with Email Extractor.
- Download the file.
Repeat for each form you want to extract from.
Filtering before export
JotForm allows you to filter submissions by date, status and field values before exporting. If you want only submissions from a certain period or only submissions with a specific answer, apply filters first to produce a more targeted export.
JotForm Tables
If you use JotForm Tables (the spreadsheet-style view of submissions), you can also export from there. The export process is similar: select the table, click export, and choose CSV or Excel.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV or XLSX file (or files, if you exported from multiple forms). Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically. If the same person submitted multiple forms, their address appears only once.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.
Working with the Results
Track which form each contact came from
If you export each JotForm separately and upload all the files in a single extraction, downloading as CSV with sources shows which form's export file each address appeared in. This helps you separate contact form enquiries from event registrations from job applicants.
Combine with other form builders
If you use JotForm alongside other form tools (Google Forms, Typeform, Wufoo, Gravity Forms), export from each and upload all the files in one extraction. Deduplication handles contacts who submitted forms on multiple platforms.
Recover from integration gaps
If a JotForm-to-Mailchimp or JotForm-to-HubSpot integration was set up after the form started collecting submissions, earlier responses may not have synced. Exporting all submissions and extracting ensures you have every email address, including those from before the integration was active.
Things to Know
Column headers are not extracted
CSV column headers like "E-mail" or "Email Address" are text, not email addresses, so they do not appear in the extracted results.
Other submission data is not preserved
Email Extractor outputs email addresses only. Respondent names, form answers, submission dates, payment information and other fields from the JotForm export are not carried over. If you need those fields, work with the original export file directly.
Multiple email fields
Some JotForms have multiple email fields (e.g., "Your Email" and "Manager's Email"). Email Extractor scans all columns and extracts every email address found. Each unique address appears once in the results.
Conditional fields
JotForm supports conditional logic that shows or hides fields based on previous answers. If an email field was conditional and not shown to all respondents, some submissions will have that field empty. Only submissions where an email address was actually entered will contribute to the extracted list.
Consent considerations
A form submission grants consent to the purpose described by the form. A job application form does not grant marketing consent. A contact form requesting a quote does not grant newsletter consent. Review what each form told respondents about how their email would be used before sending them communications beyond the original purpose. See Email consent types explained.
