How to Extract Emails from Wufoo Submissions

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Wufoo Submissions?

Wufoo is a form builder used for contact forms, registration forms, order forms, surveys, event sign-ups and lead capture. Form submissions are stored in Wufoo's entry manager, and each submission may contain email addresses provided by respondents.

Extracting email addresses from Wufoo submissions is useful in several scenarios.

Building a contact list from multiple forms. If you run several Wufoo forms (a contact form, an event registration, a feedback survey, a job application), email addresses are spread across separate forms. Extracting from all of them produces a single deduplicated list.

Recovering contacts not captured by integrations. Wufoo integrates with many platforms, but integrations may not have been configured for every form, or may have experienced sync failures. Exporting and extracting captures every email address in your submissions.

Archiving before changes. Before deleting old forms, changing Wufoo plans, or migrating to a different form builder, you may want to extract all email addresses from historical submissions.

Combining with other sources. If contacts arrive through Wufoo, another form builder, email and manual entry, extracting from all sources and deduplicating produces one complete list.

How to Export from Wufoo

Wufoo allows you to export submissions from each form.

  1. Log in to Wufoo.
  2. Go to the Entry Manager for the form whose submissions you want to export.
  3. Click the Export button.
  4. Choose your export options. Wufoo typically offers CSV and Excel formats.
  5. Select the date range if you want a subset of submissions.
  6. Download the file.

Repeat for each form you want to extract from.

The exported file contains one row per submission and one column per form field. Email addresses appear in the column corresponding to the email field in your form.

Forms without a dedicated email field

If a form does not have a dedicated email field but contains free-text fields where respondents may have typed email addresses (such as a "Comments" or "How can we reach you?" field), Email Extractor will still find email addresses in those columns. It scans all text in the file, not just columns with "email" in the header.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or Excel file (or files, if you exported from multiple forms). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which form export each address came from.

Working with the Results

Track which form each contact came from

If you export each Wufoo form separately and upload all the files in one extraction, downloading as CSV with sources shows which form's export file each address appeared in. This helps you separate contact form enquiries from event registrations from survey respondents.

Combine with other form builders

If you use Wufoo alongside other form tools (Google Forms, Typeform, JotForm, Gravity Forms), export from each and upload all files in a single extraction. Deduplication handles contacts who submitted forms across multiple platforms.

Recover historical contacts

Wufoo accounts that have been active for years may contain valuable contact information in older forms. Exporting from all forms, including inactive ones, ensures you capture every email address collected over the life of the account.

Feed into an email marketing platform

After extraction, import the deduplicated list into your email marketing platform (Mailchimp, Brevo, ActiveCampaign, etc.) for campaigns. Consider verifying the list first if the forms have been collecting submissions for a long time, as some addresses may no longer be active. See Best email verification services.

Things to Know

Column headers are not extracted

CSV column headers like "Email" or "Field123" are text, not email addresses, so they do not appear in the extracted results.

Other submission data is not preserved

Email Extractor outputs email addresses only. Respondent names, form answers, submission dates, payment information and file uploads from the Wufoo export are not carried over. If you need those fields, work with the original export file.

Wufoo field identifiers

Wufoo's CSV exports may use field identifiers (like "Field123") as column headers instead of human-readable field names, depending on the export settings. This does not affect extraction, since Email Extractor scans all columns regardless of their header names.

Submission limits

Wufoo plans have monthly submission limits. The export captures all stored submissions regardless of plan limits, but older submissions may be removed after the account's storage period, depending on the plan.

Consent considerations

As with any form builder, the consent given by respondents is specific to the purpose described by the form. A contact form submission consents to being contacted about the enquiry, not to marketing emails. Review your form's purpose and privacy notice before using extracted addresses for communications beyond the original purpose. See Email consent types explained.
