How to Extract Emails from Acuity Scheduling

Why Extract from Acuity Scheduling?
Acuity Scheduling (now Squarespace Scheduling) is an appointment scheduling platform used by consultants, coaches, therapists, salons, photographers, tutors and service-based businesses. It stores client records that include email addresses, names, phone numbers, appointment history, intake form responses and payment information.
Extracting email addresses from Acuity Scheduling data is useful in several scenarios.
Building a client email list. Your Acuity appointment history contains the email address of every client who has booked with you. Extracting these addresses gives you a client list you can use for follow-up, newsletters or re-engagement campaigns.
Combining with other booking sources. If you accept bookings through Acuity and also through other channels (phone, walk-ins, another scheduling tool), extracting from each source and deduplicating reveals your total unique client count.
Migrating to another scheduling tool. Before switching from Acuity to a different scheduling platform (Calendly, Cal.com, SimplyBook.me), extracting client email addresses ensures no contacts are lost.
Feeding into a CRM or email platform. If you want to manage client relationships in a CRM or send campaigns through an email marketing platform, extracting gives you a clean list to import.
How to Export from Acuity Scheduling
Acuity allows you to export appointment data and client data.
Exporting appointments
- Log in to Acuity Scheduling.
- Go to Appointments or Reports.
- Find the export option. In some versions, go to Appointments and click Export or go to Reports and select an appointment report.
- Set the date range for the appointments you want to export.
- Choose CSV as the export format.
- Download the file.
The appointment export contains one row per appointment. If a client has booked multiple appointments, they will appear in multiple rows (with the same email address). Email Extractor deduplicates automatically, so each address appears once in the results.
Exporting clients
If Acuity offers a direct client list export (availability depends on your plan and version):
- Go to Clients (if available in your Acuity interface).
- Click Export or Download.
- Download the CSV file.
A client export contains one row per client rather than one row per appointment, which avoids the repetition of appointment-based exports.
Export fields
Acuity exports can include: client email, client name, phone number, appointment type, appointment date and time, appointment status (scheduled, cancelled, no-show), intake form responses, notes, payment amount and payment status. The exact columns depend on your Acuity configuration and which intake form fields you have set up.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file (or files, if you made multiple exports for different date ranges or appointment types). Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically, so even if a client has 20 appointments in the export, their email address appears once.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources to see which export file each address came from.
Working with the Results
Build a client newsletter list
The extracted list represents every client who has booked an appointment with you. Import it into your email marketing platform to send updates, promotions, seasonal reminders or re-booking prompts.
Identify clients by appointment type
If you export appointments by type (e.g., "Initial Consultation," "Follow-Up," "Group Session"), uploading the exports separately and downloading as CSV with sources shows which appointment type each address booked. This helps you segment your client list.
Combine with Calendly or other scheduling tools
If you use Acuity alongside Calendly or another scheduling platform (perhaps for different services or team members), export from each and extract together. Deduplication reveals your total unique client base across all booking channels.
Re-engage lapsed clients
Compare the extracted list against your recent appointment records. Clients who booked long ago but have not returned are candidates for a re-engagement email. Import the full extracted list into your email platform and target those who are not in your recent bookings.
Verify addresses
Client email addresses collected during booking may contain typos (especially if entered on a phone). Running the extracted list through a verification service identifies invalid addresses before you send campaigns. See Best email verification services.
Things to Know
Column headers are not extracted
CSV column headers from Acuity are text, not email addresses, so they do not appear in the extracted results.
Client data is not preserved
Email Extractor outputs email addresses only. Client names, phone numbers, appointment details, intake form responses, payment history and notes from the Acuity export are not carried over. If you need those details, work with the original CSV file.
Cancelled and no-show appointments
Depending on your export settings, cancelled appointments and no-shows may be included. The email addresses of clients who cancelled or did not show up will appear in the extracted results. Whether you want to include them in your client list depends on your use case.
Multiple clients per appointment
For group appointments or classes, the export may include multiple client email addresses per appointment row. Email Extractor scans all text in each row and extracts all email addresses found.
Consent for marketing
Clients who booked an appointment consented to the appointment, not necessarily to marketing emails. If you plan to use the extracted list for marketing campaigns, ensure you have appropriate consent or include an unsubscribe mechanism in compliance with applicable regulations. Acuity and Squarespace
Since Acuity Scheduling was acquired by Squarespace, it is now marketed as Squarespace Scheduling in some contexts. The product and export functionality remain the same. If your Acuity account is accessed through Squarespace, look for the scheduling or appointments section within your Squarespace dashboard.
