How to Extract Emails from Calendly Invitees

Why Extract Invitees from Calendly?
Calendly is a scheduling platform that lets people book meetings, calls, demos and appointments through shareable scheduling links. Every person who books a Calendly event provides their email address. Over time, Calendly accumulates a database of everyone who has scheduled time with you.
While general Calendly booking and registrant exports are covered in other guides, this article focuses on extracting invitee email addresses from past scheduled events for use in CRM, email marketing and follow-up workflows.
How to Export from Calendly
Exporting scheduled events
- Log in to Calendly.
- Go to Scheduled Events (or Activity).
- Filter by date range, event type or status (upcoming, past, cancelled).
- Click Export to download a CSV file.
- The CSV includes invitee email, invitee name, event type, date, time, status and custom question responses.
Exporting from analytics
- Go to Analytics (available on Professional and Teams plans).
- View event data by date range and event type.
- Export as CSV.
Using integrations
Calendly integrates with CRMs (HubSpot, Salesforce), email marketing platforms and automation tools (Zapier). If configured, invitee data flows to connected tools automatically.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file exported from Calendly. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Import into a CRM
Import invitee emails into HubSpot, Salesforce or another CRM if you are not using a direct Calendly integration. This ensures every person who booked time with you has a CRM record.
Build a follow-up list
Extract past invitees for re-engagement campaigns, feedback surveys or invitation to future events.
Consolidate across scheduling tools
If your team uses multiple scheduling tools (Calendly, Cal.com, SavvyCal), export from each and upload together. Deduplication shows your total unique email addresses from all scheduled meetings.
This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.
Verify addresses
Invitee email addresses are usually valid because Calendly sends confirmations and reminders to them. Older records may be outdated. See Best email verification services.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, event types, dates, times, custom question responses and other Calendly data are not carried over.
Host email included
The export may include the host's own email address alongside invitee emails. Remove your own email from the results.
Cancelled events
Depending on your export filter, cancelled events may be included. Invitees who cancelled still provided their email address.
Group events
Calendly supports group events where multiple people book the same time slot. All invitees in a group event appear in the export.
Round robin events
For teams using round robin scheduling, invitee emails appear in the team's export regardless of which host was assigned.
