How to Extract Emails from Calendly Bookings

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Calendly Bookings?

Calendly is a scheduling platform used for sales calls, client consultations, interviews, demos, coaching sessions, office hours and any meeting that requires booking a time slot. When someone books through Calendly, they provide their name and email address, and may provide additional information through custom questions.

Over months or years of use, a Calendly account accumulates booking records for everyone who has ever scheduled a meeting. Extracting the email addresses from these records is useful in several scenarios.

Building a contact list. If you use Calendly for sales calls or consultations, every booking represents a lead or client who has shown enough interest to schedule time with you. Extracting their email addresses produces a list of engaged prospects.

Catching contacts missed by CRM integrations. Calendly integrates with CRMs and email platforms, but those integrations may not have been active from the start, or may have experienced sync issues. Exporting and extracting ensures you have every email address.

Combining with other sources. If prospects reach you through Calendly, a contact form, email, events and referrals, extracting from all sources and deduplicating gives you one complete list.

Analysing booking volume. Extracting and counting unique email addresses from Calendly bookings counts matched email strings in the exported bookings for that period.

How to Export from Calendly

Calendly allows you to export booking data as a CSV file.

  1. Log in to Calendly.
  2. Go to Scheduled Events (or Activity depending on your plan and interface version).
  3. Filter by date range, event type, or status if needed.
  4. Click Export to download a CSV file of the filtered events.

The exported CSV includes columns for the invitee's name, email address, event type, date and time, status (active, cancelled, rescheduled), and any answers to custom questions.

What is included

The export captures all scheduled events within the selected filters, including:

  • Completed meetings.
  • Upcoming meetings.
  • Cancelled meetings (the invitee's email is still recorded).
  • Rescheduled meetings.

Team accounts

If you are on a Calendly Teams plan, you may be able to export bookings for the entire team or for individual team members, depending on your role and permissions.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically. If the same person booked multiple meetings, their address appears only once.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Identify unique contacts

If someone has booked multiple meetings over time (a recurring client, a prospect who had a discovery call and then a follow-up), deduplication ensures their address appears only once. The number of addresses in the extracted list counts unique matched email strings, not distinct people.

Separate by event type

If you export Calendly data filtered by event type (e.g., "Sales Call," "Demo," "Consultation," "Interview"), you can extract from each export separately and use the CSV-with-sources download to see which event type each address came from.

Combine with other booking tools

If you use Calendly alongside another scheduling tool (Acuity Scheduling, Cal.com, SavvyCal), export from each and upload all the files in one extraction. Deduplication handles contacts who booked through multiple platforms.

Follow up with cancelled bookings

Cancelled bookings still contain the invitee's email address. Extracting from a Calendly export filtered to cancelled events produces a list of people who intended to meet but did not. A follow-up email offering to reschedule can recover some of these meetings.

Build a referral or testimonial list

Extract from completed booking records to identify clients or contacts who followed through on their meetings. This list can be used to request testimonials, referrals or feedback.

Things to Know

Column headers are not extracted

CSV column headers like "Invitee Email" or "Invitee Name" are text, not email addresses, so they do not appear in the extracted results.

Names and booking details are not preserved

Email Extractor outputs email addresses only. Invitee names, meeting dates, event types, custom question answers and booking status from the Calendly export are not carried over. If you need those fields, work with the original CSV file directly.

Your own email may appear

Depending on how the Calendly export is structured, your own email address (as the host) may appear in the data. Review the results and remove your own address if it is included.

Group events

If you use Calendly's group event feature (where multiple invitees book the same time slot), each invitee's email address appears as a separate row in the export. All will be extracted and deduplicated.

Consent for follow-up

Booking a meeting through Calendly is consent to the meeting and related communication (confirmation, reminders, follow-up about the meeting topic). It is not automatically consent for marketing emails, newsletters or unrelated outreach. Review what your Calendly booking page communicates about how contact information will be used.
