How to Extract Emails from Calendly Group Events

Why Extract from Calendly Group Events?
Calendly is a scheduling platform that automates meeting bookings. Group events allow multiple people to book the same time slot, making them useful for webinars, workshops, classes, group coaching sessions and office hours. Every attendee provides an email address when they book.
While individual Calendly booking and invitee exports are covered in other guides, this article focuses on group event attendees where multiple people share a single session.
How to Export from Calendly
Exporting group event attendees
- Log in to Calendly.
- Go to Scheduled Events or Activity.
- Filter by event type to find your group events.
- Select a group event to view its attendees.
- Use the Export option to download attendee data as CSV.
- The CSV includes attendee email, name, booking date and responses to custom questions.
Exporting all scheduled events
- Go to Activity (or Scheduled Events).
- Filter by date range and event type.
- Click Export to download all events and attendees as CSV.
- Group events appear with multiple attendees per time slot.
Using integrations
Calendly integrates with HubSpot, Salesforce, Google Sheets, Zapier and other tools. If configured, attendee data flows to connected platforms automatically.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file from Calendly. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Build a recurring audience list
If you run regular group events (weekly office hours, monthly workshops), export attendees from each and upload together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Source membership shows an address in an export; use the event records to distinguish registration from attendance and count repeat visits.
No-show follow-up
Compare booked attendees against actual attendance (if tracked). Reach out to no-shows with a replay or reschedule offer.
Import into CRM
Add group event attendees to HubSpot, Salesforce or another CRM for relationship tracking.
Verify addresses
Calendly booking emails are provided by the attendee during scheduling and are usually valid. See Best email verification services.
Things to Know
Contact data is not preserved
Email Extractor outputs email addresses only. Names, booking times, custom question responses and event details are not carried over.
Group vs. one-on-one events
Group events allow multiple attendees per time slot. One-on-one events have a single invitee. The export process is similar but group events produce more records per time slot.
Cancellations
Attendees who cancel may still appear in exports depending on export settings and timing.
Calendly plans
Export functionality varies by Calendly plan. Some export features require a paid plan.
