How to Extract from Any Scheduling Tool
The general process is the same regardless of which scheduling tool you use:
- Export or download bookings or client data as CSV or Excel.
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the file (or multiple files from different scheduling tools). Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates across all uploaded files are removed automatically.
- Download as TXT, CSV, or CSV with sources.
Combining Data from Multiple Scheduling Tools
If your team uses different scheduling tools (Calendly for sales calls, Acuity for client appointments, Cal.com for internal meetings), you can extract from all of them at once. Upload all exported files together to Email Extractor. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.
Scheduling Emails vs Marketing Emails
Booking an appointment provides context for transactional communication (confirmations, reminders, follow-ups about the meeting). It does not automatically provide consent for marketing emails. Before importing extracted scheduling addresses into an email marketing platform, consider your obligations under regulations like CAN-SPAM, GDPR and CASL.
Transactional follow-up emails ("How was your appointment?", "Here are the notes from our meeting") are generally acceptable. Promotional campaigns ("Buy our new product!") to people who only booked a meeting may require additional consent.

Import into a CRM
The extracted list can be imported into HubSpot, Salesforce, Pipedrive or another CRM. This creates contact records for everyone who has booked time with your team.
Send follow-up campaigns
Import into an email marketing platform for post-meeting follow-up sequences. Keep these relevant to the meeting context.
Verify addresses
Booking forms generally collect valid email addresses (people need the confirmation email to arrive). However, older bookings may have outdated addresses. Running through a verification service before outreach is a good practice. See Best email verification services.
Analyse booking patterns
The total count of unique email addresses from your scheduling tool shows how many unique people have booked time with you over a period. This is a useful metric for understanding client reach and pipeline health.
