How to Extract Emails from SavvyCal Bookings

Why Extract from SavvyCal?

SavvyCal is a scheduling tool that lets people book meetings by overlaying their calendar availability with yours. It features calendar overlay, time zone detection, round-robin scheduling, team pages, routing forms and integrations with Google Calendar, Outlook, Zoom and other tools. When someone books a meeting through SavvyCal, their name, email address and any custom question responses are stored as booking data.

Extracting email addresses from SavvyCal bookings is useful in several scenarios.

Building a contact list from meetings. Every person who books time with you or your team is a potential lead, client, partner or collaborator. Extracting their email addresses gives you a list to import into a CRM or email platform.

Consolidating scheduling data. If your team uses SavvyCal alongside other scheduling tools (Calendly, Cal.com, Acuity), extracting from each and deduplicating reveals your total unique booker count.

Following up after events. If you use SavvyCal for booking consultations, demos or office hours during an event period, extracting the email addresses lets you send targeted follow-up messages.

Backing up booker data. Having a separate extracted email list provides a backup independent of the SavvyCal platform.

How to Export from SavvyCal

SavvyCal stores booking data that can be accessed through its interface and integrations.

Exporting bookings

  1. Log in to SavvyCal.
  2. Navigate to your Events or Bookings section.
  3. Look for an export or download option to get booking data as CSV.
  4. If a direct CSV export is not available in the interface, SavvyCal integrates with tools like Zapier and webhooks that can push booking data to a spreadsheet (Google Sheets or a CSV file).
  5. Download the file.

Using integrations to export

If SavvyCal does not offer a direct CSV export in its dashboard:

  1. Set up a Zapier or Make integration that triggers on new SavvyCal bookings.
  2. Send each booking's data (name, email, event type, date) to a Google Sheet or CSV file.
  3. Over time, this builds a spreadsheet of all bookings.
  4. Export that spreadsheet as CSV for extraction.

Export fields

SavvyCal booking data typically includes: booker email address, booker name, event type name, booking date and time, time zone, calendar used, any custom question responses, and meeting link. The exact fields depend on your SavvyCal configuration.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Import into a CRM

The extracted list can be imported into HubSpot, Salesforce, Pipedrive or any CRM. This turns your meeting bookers into CRM contacts for pipeline tracking.

Send follow-up campaigns

Import the list into an email marketing platform to send follow-up emails after meetings. This works well for demos, consultations and discovery calls.

Compare with other scheduling tools

If your team uses multiple scheduling tools, extract from each and deduplicate. This shows which contacts booked through SavvyCal specifically and your total unique count across all tools.

Things to Know

Column headers are not extracted

CSV column headers are text labels, not email addresses, so they do not appear in the extracted results.

Booker data is not preserved

Email Extractor outputs email addresses only. Names, meeting dates, event types, custom question responses and time zone information are not carried over.

Recurring meetings

If a person books multiple meetings through SavvyCal, their email address appears in the data for each booking. Email Extractor deduplicates automatically, so each unique email address appears once in the results.

Team scheduling

SavvyCal supports team scheduling (round-robin, collective events). Booking data from team events includes both the booker's email and potentially the assigned team member's email. Team members' email addresses may appear in the extracted results.

Calendar overlay

SavvyCal's calendar overlay feature is a scheduling aid for bookers. It does not affect the data stored about bookings or the extraction process.

Consent

Booking a meeting provides an implied context for communication about that meeting. It does not necessarily provide consent for marketing emails. Verify that your use of extracted email addresses complies with your email marketing platform's terms of service and applicable regulations like CAN-SPAM and GDPR.
