How to Extract Emails from SimplyBook.me Bookings

On this page

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from SimplyBook.me?

SimplyBook.me is an online appointment scheduling platform designed for service-based businesses. It supports booking for salons, clinics, fitness studios, spas, consultants, tutors and other service providers. SimplyBook.me offers a booking website, client management, payment processing, intake forms, promotions, memberships and integrations with Google Calendar, Zoom, and more. When clients book appointments, their name, email address, phone number and intake form responses are stored in the system.

Extracting email addresses from SimplyBook.me bookings is useful in several scenarios.

Building a client email list. Every client who books an appointment is someone you can communicate with about future services, promotions and updates. Extracting gives you a clean email list for import into an email marketing platform.

Migrating to another scheduling system. When switching from SimplyBook.me to Calendly, Acuity, Cal.com or another tool, extracting client email addresses ensures no contacts are lost.

Consolidating client data. If your business uses SimplyBook.me alongside other tools (a CRM, a separate email platform, a loyalty system), extracting and deduplicating reveals your total unique client count.

Sending targeted promotions. Import the extracted list into an email platform to send promotions, reminders, seasonal offers or re-engagement campaigns to past clients.

Working with the Results

Import into an email marketing platform

The extracted list can be imported into Mailchimp, MailerLite, Kit, ActiveCampaign or any email platform. This lets you send newsletters, promotions and seasonal campaigns to past clients.

Import into a CRM

If you want to track client relationships beyond appointments, import the list into a CRM like HubSpot, Zoho CRM or Pipedrive.

Compare with other data sources

If you collect client contacts through multiple channels (walk-ins, phone calls, website forms, social media), extract from each source and deduplicate.

Send re-engagement campaigns

Clients who have not booked recently may respond to a re-engagement email. Use the extracted list to create a segment of past clients and send them a special offer.

Verify addresses

Long-time clients may have outdated email addresses. Run the extracted list through a verification service before sending campaigns. See Best email verification services.

Things to Know

Column headers are not extracted

CSV and Excel column headers are text labels, not email addresses, so they do not appear in the extracted results.

Client data is not preserved

Email Extractor outputs email addresses only. Names, phone numbers, booking history, service preferences, membership details and custom fields are not carried over.

Repeat clients

If a client has booked multiple appointments, their email address appears in the booking data for each appointment. Email Extractor deduplicates automatically.

Staff email addresses

Booking exports may include staff or provider email addresses alongside client data. These will be extracted along with client addresses. Review the results if you need to separate staff from clients.

Intake forms

SimplyBook.me supports custom intake forms that clients fill out when booking. Intake form data is included in exports as additional columns. If intake forms collect additional email addresses (e.g., an emergency contact email), those will be extracted too.

Memberships and packages

SimplyBook.me supports memberships and service packages. Client exports include members regardless of their current membership status. Inactive members' email addresses will be in the export.

GDPR and consent

SimplyBook.me stores client data for appointment management. Using extracted email addresses for marketing requires consent under regulations like GDPR. SimplyBook.me has GDPR compliance features; check your consent settings before importing extracted addresses into a marketing platform.

Multiple locations

If your business has multiple locations using SimplyBook.me, each location may have separate client data. Export from each location and combine for a complete client email list.
