How to Extract Emails from YouCanBookMe Bookings

Why Extract from YouCanBookMe?

YouCanBookMe (YCBM) is an online scheduling tool that connects to Google Calendar or Microsoft 365 Calendar and lets people book meetings with you through a personalised booking page. When someone books a meeting, their name, email address, and any custom question responses are stored as booking data. YouCanBookMe is used for consultations, tutoring, coaching, sales demos, interviews and office hours.

Extracting email addresses from YouCanBookMe bookings is useful in several scenarios.

Building a contact list. Every person who books time with you is a potential lead, client or student. Extracting their email addresses gives you a list to import into a CRM or email marketing platform.

Consolidating scheduling data. If you use YouCanBookMe alongside other scheduling tools (Calendly, Cal.com, SavvyCal, Acuity), extracting from each and deduplicating reveals your total unique booker count.

Following up after a busy period. If you run booking pages for events, workshops or seasonal promotions, extracting lets you send follow-up messages to everyone who booked.

Backing up booker data. Having a separate extracted email list provides a backup independent of the YouCanBookMe platform.

How to Export from YouCanBookMe

YouCanBookMe provides access to booking data.

Exporting bookings

  1. Log in to YouCanBookMe.
  2. Go to your Bookings section.
  3. Look for an export or download option to get booking data as CSV.
  4. If available, choose your date range and download the file.

Using integrations to export

If a direct CSV export is not available in the interface, YouCanBookMe integrates with tools that can capture booking data:

  1. Zapier integration: Set up a Zap that triggers on new YouCanBookMe bookings and sends data to a Google Sheet.
  2. Webhook: Configure a webhook to push booking data to a service that saves it to a CSV or spreadsheet.
  3. Google Sheet add-on: Some users connect YouCanBookMe to Google Sheets directly for automatic data capture.

Over time, these integrations build a spreadsheet of all bookings. Export that spreadsheet as CSV.

Export fields

YouCanBookMe booking data typically includes: booker email address, booker name, booking date and time, time zone, calendar used, any custom question responses and booking status. The exact fields depend on your booking page configuration.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Import into a CRM

The extracted list can be imported into HubSpot, Salesforce, Pipedrive or any CRM. This turns bookers into CRM contacts for pipeline tracking.

Send follow-up emails

Import the list into an email marketing platform to send follow-up emails. This works well after consultations, coaching sessions, demos or informational calls.

Compare with other scheduling tools

If you use multiple scheduling tools, extract from each and deduplicate. This shows your total unique booker count across all platforms.

Things to Know

Column headers are not extracted

CSV column headers are text labels, not email addresses, so they do not appear in the extracted results.

Booker data is not preserved

Email Extractor outputs email addresses only. Names, booking dates, custom question responses and time zone information are not carried over.

Repeat bookers

If a person books multiple meetings, their email address appears in the data for each booking. Email Extractor deduplicates automatically.

Cancelled bookings

Booking exports may include cancelled bookings. The email addresses from cancelled bookings are still extracted. If you want to exclude cancelled bookings, filter them out before exporting or after extracting.

Team accounts

YouCanBookMe supports team booking pages. If your team shares a booking page, the export includes bookings across all team members.

Confirmation emails

YouCanBookMe sends confirmation emails to bookers. These emails contain the booker's email address and your email address. If you extract from confirmation email files (EML or MSG), both addresses would be extracted.

Consent

Booking a meeting provides implied context for communication about that meeting. It does not necessarily grant consent for marketing emails. Verify that your use of extracted email addresses complies with applicable regulations.
