How to Extract Emails from Cal.com Bookings

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from Cal.com?

Cal.com is an open-source scheduling platform used for meeting bookings, consultations, interviews and appointments. It offers event types, team scheduling, round-robin routing, payment collection and integrations with Google Calendar, Outlook, Zoom and other tools. Cal.com stores booking records that include attendee email addresses, names, booking times, event types and any custom questions asked during booking.

Extracting email addresses from Cal.com data is useful in several scenarios.

Building a client or lead list. Your Cal.com booking history contains the email address of every person who has scheduled a meeting with you. Extracting gives you a list for follow-up, newsletters or CRM import.

Combining with other booking tools. If you use Cal.com alongside Calendly, Acuity or another scheduling tool (perhaps for different team members or event types), extracting from each and deduplicating reveals your total unique email-address count across all booking channels.

This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.

Migrating to another scheduler. Before switching from Cal.com to a different scheduling platform, extracting attendee email addresses ensures no contacts are lost.

Feeding into a CRM or email platform. Extracting gives you a clean list to import into your CRM or email marketing tool.

How to Export from Cal.com

Cal.com allows you to export booking data.

Exporting bookings

  1. Log in to Cal.com.
  2. Go to Bookings in the sidebar.
  3. Look for an export option (this may be in the bookings list view, or under settings).
  4. If a direct CSV export is available, download the file.
  5. If no direct export is available, Cal.com's API can be used to retrieve booking data, or you can export from an integrated tool (Google Sheets via Zapier, or from your calendar application).

Alternative export methods

Cal.com is open source and self-hostable. Depending on your setup:

  • Cal.com cloud: Check the bookings section for export options. If not available in the UI, use the Cal.com API or a Zapier integration that sends bookings to Google Sheets.
  • Self-hosted Cal.com: You can access the database directly or use the API to export booking data.
  • Calendar export: Since Cal.com syncs with Google Calendar or Outlook, you can export calendar events and extract attendee emails from the calendar export.

Export fields

Cal.com booking data typically includes: attendee email address, attendee name, event type, booking date and time, booking status (confirmed, cancelled, pending), responses to custom questions and meeting link.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the exported file (CSV, XLSX or other supported format). Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically, so each attendee's email appears once even if they booked multiple meetings.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Build a contact list for follow-up

The extracted list represents everyone who has booked a meeting with you. Import it into your email marketing platform to send follow-up sequences, newsletters or re-engagement campaigns.

Identify contacts by event type

If you export bookings by event type (e.g., "Discovery call," "Demo," "Consultation"), uploading each export separately and downloading as CSV with sources shows which event type each address booked. This helps segment your contact list.

Combine with Calendly

If you transitioned to Cal.com from Calendly (or use both), export from both platforms and extract together. Deduplication creates a combined list of unique email addresses. Download CSV with sources and compare the source names to find addresses shared by the exports. Use the original records for person matching or status checks; the comparison only establishes that the same email string appears in multiple sources.

Import into a CRM

The extracted list can be imported into HubSpot, Salesforce, Pipedrive or any CRM that accepts CSV imports. This creates contact records for everyone who has booked time with you.

Verify addresses

Booking email addresses can contain typos. Running the extracted list through a verification service identifies invalid addresses before you use them for campaigns. See Best email verification services.

Things to Know

Column headers are not extracted

CSV column headers are text, not email addresses, so they do not appear in the extracted results.

Attendee data is not preserved

Email Extractor outputs email addresses only. Attendee names, booking times, event types, meeting notes and custom question responses from the Cal.com export are not carried over. If you need those details, work with the original export.

Cancelled bookings

Depending on your export settings, cancelled bookings may be included. The email addresses of attendees who cancelled will appear in the extracted results. Whether to include them in your contact list depends on your use case.

Team bookings

If you use Cal.com's team features (round-robin, collective availability), your team members' bookings may all be in the same export. The export includes attendee (external) email addresses and possibly team member (internal) email addresses. Internal addresses will appear in the extracted results alongside external ones.

Open-source nature

Cal.com is open source, so its features and export capabilities may vary depending on version and self-hosting configuration. Check the Cal.com documentation for your specific version's export options.

Consent for marketing

People who booked a meeting consented to the meeting, not necessarily to marketing emails. If you plan to use the extracted list for marketing, ensure you have appropriate consent. See Email consent types explained.
