How to Extract Emails from Calendly Workflows

Why Extract from Calendly Workflows?

Calendly is a scheduling platform with workflow automation features. Workflows in Calendly send automated emails and SMS messages to invitees before and after events. They are triggered by booking confirmations, reminders, follow-ups and cancellations.

Extracting email addresses from Calendly workflow data is useful for analyzing which invitees received specific communications, building follow-up segments, sharing data with sales teams or importing workflow audiences into CRMs and marketing platforms.

How to Export from Calendly

Exporting scheduled events

  1. Log in to Calendly.
  2. Go to Scheduled Events.
  3. Use filters to narrow by event type, date range or status.
  4. Click Export to download as CSV.
  5. The export includes invitee email addresses.

Using integrations

Calendly integrates with HubSpot, Salesforce, Google Sheets, Zapier, Mailchimp and other tools. If configured, booking data flows to connected platforms automatically. Export from there for workflow-specific lists.

Using the Calendly API

  1. Use the /scheduled_events endpoint with filters for event type and date range.
  2. Retrieve invitee details with the /invitees sub-endpoint.
  3. Each invitee record includes their email address.
  4. Save results as JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or JSON file from Calendly. Up to 25 MB per file, 100 MB per batch.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, event types, dates, custom questions and other Calendly fields are not carried over.

Workflows vs. events

Calendly workflows are attached to event types. To find contacts who received a specific workflow, export events of that type.

One invitee per event
