Body: "We'd love to hear about your experience." Different angle from the first ask. Mention that reviews help other travellers.
Email 3 (2-3 months after stay): Re-engagement.
Subject: Planning your next trip to [destination]?
Body: Seasonal offer, loyalty programme update, or new amenity announcement. Direct booking link with a returning-guest incentive.
Direct booking vs OTA
Hotels pay 15-25% commission on bookings through online travel agencies (Booking.com, Expedia). Email is the primary tool for driving direct bookings from past guests.
Strategies:
- "Book direct" messaging in every email. Highlight the price-match guarantee or exclusive perks for direct bookings.
- Loyalty programme exclusive to direct bookings.
- Returning-guest discount available only through the hotel's website.
- Pre-arrival upsells available only for direct bookings.
Restaurants
Building the email list
Restaurants have fewer natural email collection points than other businesses. Every interaction is an opportunity.

Why reviews matter in hospitality
Reviews directly affect revenue. A one-star increase on Yelp leads to a 5-9% increase in revenue for restaurants, according to research by Harvard Business School. For hotels, TripAdvisor ranking significantly affects booking volume.
Email strategy for reviews
Timing. Ask 24-48 hours after the experience, while memories are fresh and positive.
Platform selection. Direct guests to the platform where you need reviews most:
- Google Business Profile (affects local search ranking).
- TripAdvisor (dominant for hotels and tours).
- Yelp (important for restaurants in the US).
- Your own website (for testimonials).
One link, one ask. Do not give three platform options. Pick one and make it easy.
Pre-screen with a satisfaction question. "How was your experience? Great / It was OK / Not great." Route "Great" responses to a review site. Route "Not great" responses to a feedback form that reaches the manager. This prevents negative reviews from reaching public platforms and gives you a chance to recover.
Handling negative feedback
When someone indicates dissatisfaction through the feedback form:
- Respond within 4 hours. Speed signals that you care.
- Acknowledge the specific issue. "I'm sorry your room wasn't ready on time."
