Email Extraction for Restaurants: Build a Guest List from Reservations, Catering Orders and Event Enquiries

The Problem
Restaurants collect guest contact information through multiple channels: online reservations, catering orders, private dining enquiries, loyalty programmes, gift card purchases, feedback forms and event bookings. This information ends up in reservation platform exports, email inboxes, catering contracts, spreadsheets and POS system reports.
When a restaurant wants to announce a new menu, promote a special event, fill seats on a slow night, or notify catering clients about seasonal offerings, building a comprehensive email list from all these sources by hand is slow. The addresses exist, they are just not in one place.
Where Restaurant Email Addresses Live
- Reservation platform exports. Services like OpenTable, Resy and similar platforms allow restaurants to export reservation data, typically as CSV or XLSX files containing guest names and email addresses.
- Catering contracts and invoices. Corporate catering orders, wedding receptions and private events generate contracts with client contact information, usually saved as PDF or DOCX files.
- Event and private dining enquiries. Emails from people asking about hosting events at the restaurant, saved as EML or MSG files.
- Online ordering platforms. Exports from delivery and takeout platforms may include customer email addresses in CSV or spreadsheet format.
- Loyalty programme data. If the restaurant runs a loyalty or rewards programme, member data exports contain email addresses in CSV or XLSX format.
- Feedback and comment cards. Digital feedback form submissions, or scanned paper cards, contain guest email addresses.
- Supplier and vendor invoices. Invoices from food suppliers, wine distributors, linen services and equipment vendors include contact email addresses.
- Staff and job applicant records. Applications and HR records for current and former employees, typically in PDF or spreadsheet format.
How to Extract
- Collect exports and files containing guest or contact email addresses.
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the files. You can combine different file types in one upload. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicate addresses are removed automatically.
- Download as CSV with sources to see which file each address came from.
What to Do with the Results
Build a guest mailing list
Combine reservation exports, catering contracts and event enquiries into a single extraction. The result is a deduplicated list of every guest email address from those sources. Import it into an email marketing service to send newsletters, event invitations or seasonal promotions.
Review the list before sending. Extraction captures every email address in the files, which will include staff addresses, vendor contacts, reservation platform system addresses and your own restaurant email. Remove any addresses that are not guests or clients.
Segment by source
Downloading as CSV with sources lets you see where each address originated. Addresses from catering contracts represent a different audience than addresses from walk-in reservation exports. You can use the source information to create segments:
- Catering clients for corporate catering promotions and seasonal menus.
- Private event enquirers for event space availability and packages.
- Regular diners (from reservation exports) for new menu announcements and loyalty offers.
Consolidate vendor contacts
Restaurants work with many suppliers. Extracting from vendor invoices and order confirmations produces a single reference list of supplier contacts. This is useful when the person who manages purchasing changes, or when you need to quickly reach all suppliers about a scheduling change.
Recover contacts after a system change
Restaurants that switch reservation platforms, POS systems, or email marketing services sometimes lose access to contacts stored in the old system. If you have exports or records from the previous system, extraction can recover the email addresses from those files.
Re-engage past catering clients
Extract from a folder of past catering invoices and contracts to compile a list of previous catering clients. A targeted email about updated catering menus or new event packages can bring back business from clients who may not have thought to check back.
Limitations to Know
- Email addresses only. The extracted list does not include guest names, reservation dates, spending history, dietary preferences, or any other guest data. For a richer contact import, use the source files directly or cross-reference with your reservation platform.
- No opt-in verification. A guest who made a reservation provided their email for that transaction. Whether you may add them to a marketing list depends on your privacy policy and applicable laws. - Platform restrictions. Some reservation and ordering platforms restrict how you may use exported guest data. Check the terms of your platform agreement before using extracted addresses for marketing.
