The Problem
Event venues, banquet halls, conference centres and reception spaces collect contact information from every enquiry, site visit, booking, event and vendor interaction. Over years of hosting weddings, corporate events, fundraisers and private parties, email addresses accumulate in booking management software, enquiry forms, contracts, invoices, vendor directories and email inboxes.
When a venue wants to announce availability for the upcoming season, promote a new package, share renovation updates, invite past clients to an open house, or consolidate its preferred vendor list, gathering all those contacts from scattered sources is a time-consuming task.

- Booking and event management software. Platforms that track enquiries, bookings, event details and client communication. Exports are typically CSV or XLSX files.
- Enquiry and tour request forms. Website contact forms, phone enquiry logs and site visit request records, often in spreadsheets or exported from CRM systems.

What to Do with the Results
Announce availability and promotions
Venues often have seasonal availability patterns. A consolidated email list lets you notify past clients, enquirers and event planners about open dates, early booking discounts, new packages (elopement packages, weekday corporate rates, holiday party specials) and facility upgrades.
Before sending, review the list. Extraction captures every address in the files, including vendor contacts, internal staff addresses and system-generated addresses. Separate client and prospect contacts from vendor and internal contacts.
Re-engage past enquiries
Not every enquiry becomes a booking. Extract from enquiry forms and correspondence to build a list of people who contacted the venue but did not book. A follow-up email about new availability, updated pricing or a venue refresh can convert some of these prospects, particularly for couples or organisations that may be planning future events.
Build a preferred vendor directory
Event venues maintain relationships with caterers, florists, photographers, DJs, rental companies, lighting specialists and other service providers. Extracting from vendor invoices, contracts and correspondence produces a single contact list. This is useful for sharing updated venue policies, coordinating seasonal promotions, or distributing new venue photos that vendors can use in their own marketing.
Invite past clients to open houses or showcases
Venues periodically host open houses, bridal showcases, corporate event previews or renovation reveal events. A list of past clients, event planners and enquirers provides the invitation list.
Request testimonials and reviews
Extract from past booking records to identify clients whose events went well. A follow-up email requesting a testimonial or online review is more effective when sent from a complete list rather than relying on memory of which clients to contact.
Notify about policy or facility changes
When a venue updates its cancellation policy, adds new spaces, installs new equipment, changes catering options or adjusts capacity limits, a single email to the full contact list (clients, planners and vendors) ensures everyone has current information.
Limitations to Know
- Email addresses only. The extracted list does not include client names, event dates, event types, booking values or vendor specialties. For complete records, use your booking management system.
- Enquirers vs. clients. Email Extractor does not distinguish between people who enquired and people who booked. Cross-reference with your booking records to separate the two.
- Scanned contracts. Contracts signed on paper and scanned to PDF without OCR will not yield results. Run them through OCR software first. See Extract emails from PDF files.
- One-time events. Many venue clients book once (a wedding, a milestone birthday). Their contact information may be useful for referral requests but less so for repeat-booking campaigns.
