How to Extract Emails from a Conference Attendee List
On this page
Identify what the event list contains
An exhibitor directory, speaker programme and attendee list contain different kinds of contacts. A company order desk in an exhibitor brochure is not necessarily the email of the person you met at its booth.
First check which materials you may use and for what purpose. Access to an attendee list does not automatically permit a mailing campaign. Follow the organizer's usage terms and the relevant contact preferences.
Extract from event documents
- Open Email Extractor and choose Text and files.
- Upload the supported PDF, CSV, spreadsheet or DOCX materials.
- Click Extract emails.
- Review the addresses and their source files.
- Download CSV with sources when you need to trace results to specific materials.
Each file is limited to 25 MB and a batch to 100 MB. A PDF containing selectable text can be read; a photograph or scanned booklet needs OCR first. See PDF extraction for the distinction.
A list of 100 exhibitors can contain no addresses, repeated shared inboxes or several contacts per exhibitor. The extraction count is not an attendance or company count.
Extract from event pages
In Webpages, enter the public URLs, choose the page scope, review and allow downloading, then click Load webpages. Click Extract emails once pages have loaded.
Linked-page scanning is bounded to 25 pages per website, with up to 10 websites per run. It does not guarantee that every directory page, pagination state or dynamically loaded attendee row will be read.
If an event portal is accessible in your browser, use a permitted export or copy the relevant readable text. The optional extension can capture accessible loaded content; it does not unlock private records or generate an export that the portal does not provide.
Review the list with event context
Separate organizer, exhibitor, speaker and attendee contacts. Keep the event name, material date and a note about any actual meeting or request. Do not label everyone in the directory as someone you met.
The app combines repeated addresses but does not associate each address with a confirmed attendee name. Download results before replacing the input. If you combine downloaded TXT lists in a later run, the original source relationships are not automatically restored.
Follow up through the right channel
Use the channel appropriate to the purpose: a published press contact for media enquiries, a supplier contact for sourcing, or the person's chosen channel for a conversation you actually had.
Review old records before reuse; an archived directory can be useful context without confirming that a mailbox is still active. Consult the validation guide for delivery signals and the privacy guide for list-use considerations.
