How to Extract Emails from Insightly Reports

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs.

Why Extract from Insightly Reports?

Insightly provides built-in reports on contacts, organizations, opportunities, projects and activities. Reports can be filtered by any standard or custom field and exported with contact-level detail including email addresses.

How to Export from Insightly

Exporting from reports

1. Log in to Insightly.
2. Go to Reports.
3. Select a report category (Contacts, Opportunities, Projects).
4. Choose a report template or create a custom report.
5. Apply filters (date range, owner, category, tags).
6. Click Export and choose CSV or Excel.

Creating custom reports

1. Go to Reports then click New Report.
2. Select the record type (Contacts, Organizations, Opportunities).
3. Add columns including Email Address.
4. Add filter criteria.
5. Save and run the report.
6. Export as CSV.

Exporting filtered contact lists

1. Go to Contacts.
2. Use the filter bar to narrow by category, tag, city, date created or custom fields.
3. Select all filtered contacts.
4. Click Export to download as CSV.

Using the Insightly API

1. Use the Contacts endpoint with filtering parameters.
2. Filter by tag, category, date or custom fields.
3. Each contact includes the email address.
4. Save results as JSON.

How to Extract the Email Addresses

1. Go to bulkemailextractor.com.
2. Select "Text and files."
3. Upload the CSV file from Insightly. Up to 25 MB per file, 100 MB per batch.
4. Click "Extract emails."
5. Review the results. Duplicates are removed automatically.
6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Export contacts filtered by category (customer, partner, vendor, prospect). Each category serves different outreach needs.

Tag-based lists

Export contacts by tag for targeted campaigns based on specific interests or attributes.

Project-related contacts

Export contacts linked to specific projects for project-specific communications.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, organizations, categories, tags, opportunity data and other Insightly fields are not carried over.

Multiple email addresses

Insightly contacts can have multiple email addresses (work, personal, other). All are included in the export.
