How to Extract Emails from Capsule CRM Reports

Why Extract from Capsule CRM Reports?

Capsule CRM provides reports on sales pipeline, activities and contacts. Reports can be filtered by opportunity milestone, team member, tag, date range and custom fields. Each report pulls data from contact records including email addresses.

How to Export from Capsule CRM

Exporting from the sales pipeline report

  1. Log in to Capsule CRM.
  2. Go to Reports then Sales Pipeline.
  3. Filter by milestone, owner, tag or expected close date.
  4. View the associated contacts for each opportunity.
  5. Export contacts as CSV from the People section.

Exporting filtered contact lists

  1. Go to People & Organizations.
  2. Use filters to narrow contacts by tag, last contacted date, location or custom field.
  3. Select all filtered contacts.
  4. Click Export to download as CSV.

Using saved filters

  1. Create a saved filter with your report criteria.
  2. Apply the filter.
  3. Export the filtered contact list.

Using the Capsule CRM API

  1. Use the List Parties endpoint with filter parameters.
  2. Filter by tag, last contacted date or custom fields.
  3. Each person record includes the email address.
  4. Save results as JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV file from Capsule CRM. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, organizations, tags, opportunity data and other Capsule CRM fields are not carried over.

People vs. organizations

Capsule CRM stores People and Organizations separately. People have email addresses; organizations do not. Export from the People section.
