How to Extract Emails from Freshworks CRM Reports

Why Extract from Freshworks CRM Reports?

Freshworks CRM (formerly Freshsales) offers built-in analytics and reports covering contacts, deals, activities, sales sequences and territories. Reports can be filtered by any contact or deal property and exported with contact-level detail including email addresses.

How to Export from Freshworks CRM

Exporting from analytics

  1. Log in to Freshworks CRM.
  2. Go to Analytics.
  3. Select a report type (Contacts, Deals, Activities, Sales Velocity).
  4. Apply filters (date range, territory, owner, lifecycle stage, source).
  5. Click Export and choose CSV or XLSX.

Creating custom reports

  1. Go to Analytics then click Create Report.
  2. Select the data source (Contacts, Deals, Accounts).
  3. Add columns including Email.
  4. Add filters matching the criteria you need.
  5. Save the report.
  6. Export as CSV.

Exporting contact views

  1. Go to Contacts.
  2. Create or select a filtered view (lifecycle stage, lead score range, territory, last activity date).
  3. Select all contacts in the view.
  4. Click Export to download as CSV.

Using the Freshworks CRM API

  1. Use the List Contacts endpoint with filter parameters.
  2. Filter by lifecycle stage, lead score, territory or custom fields.
  3. Each contact includes the email address.
  4. Save results as JSON.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV or XLSX file from Freshworks CRM. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Export contacts by lifecycle stage (subscriber, lead, marketing qualified lead, sales qualified lead, customer). Each stage serves a different outreach purpose.

Export contacts with high lead scores for priority follow-up through external channels.

Things to Know

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, lifecycle stages, lead scores, territories and other Freshworks CRM fields are not carried over.

Report row limits

Report exports may have row limits depending on your Freshworks plan. Use the API for larger datasets.
