How to Extract Emails from a Capsule CRM Export

Why Extract from Capsule CRM?
Capsule CRM is a simple, affordable CRM used by small businesses and startups for contact management, sales pipeline tracking and task management. Capsule stores contact records (people and organisations) that include email addresses, phone numbers, addresses, social profiles, tags, custom fields, notes and case/opportunity data.
Extracting email addresses from Capsule CRM data is useful in several scenarios.
Migrating to another CRM. When switching from Capsule to a different CRM (HubSpot, Salesforce, Zoho CRM, Pipedrive), extracting email addresses helps verify that all contacts made it through the migration.
Building email campaign lists. If you want to reach Capsule contacts through a dedicated email marketing platform, extracting gives you a clean list to import.
Consolidating contacts. If your team uses Capsule alongside other tools (an email platform, a help desk, a project manager), extracting from each and deduplicating shows your total unique email-address count.
This counts distinct email strings using case-insensitive matching, not distinct people. One person may have multiple addresses, and shared addresses may represent several people.
Archiving before changes. Before removing users, changing plans, or restructuring your CRM data, extracting ensures you have an independent copy of every contact's email address.
How to Export from Capsule CRM
Capsule allows you to export people and organisation records.
Exporting contacts
- Log in to Capsule CRM.
- Go to People & Organizations (the contacts section).
- Optionally filter by tag, list, or other criteria to export a subset.
- Click Export (or the export option in the actions menu).
- Choose CSV as the format.
- Download the file.
Export fields
Capsule exports can include: name, email addresses, phone numbers, addresses, organisation name, job title, tags, custom fields, creation date and last contact date. The exact columns depend on your Capsule configuration and which fields are populated in your records.
How to Extract the Email Addresses
- Go to bulkemailextractor.com.
- Select "Text and files."
- Upload the CSV file. Up to 25 MB per file, 100 MB per batch.
- Click "Extract emails."
- Review the results. Duplicates are removed automatically.
- Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.
Working with the Results
Combine with email platform data
Upload your Capsule export alongside an export from your email marketing platform. Deduplication creates a combined unique list. Compare the original exports separately to identify contacts missing from either list. This helps you identify contacts who should be added to campaigns.
Compare tagged groups
If you use Capsule tags to categorise contacts (e.g., "Prospects," "Customers," "Partners"), export by tag and upload all files. CSV with sources shows which tag each address belongs to, helping you understand list composition.
Prepare for CRM migration
When migrating from Capsule to another CRM, extract from Capsule first. After importing into the new CRM, extract from there too. Comparing the two lists confirms migration completeness.
Verify addresses

Things to Know
Multiple email addresses per contact
Capsule contacts can have multiple email addresses (work, personal, home). All email addresses in the export are extracted. A contact with two addresses contributes two entries to the extracted list.
Column headers are not extracted
CSV column headers from Capsule are text, not email addresses, so they do not appear in the extracted results.
Contact data is not preserved
Email Extractor outputs email addresses only. Names, organisations, phone numbers, addresses, tags, custom fields, notes and opportunity data from the Capsule export are not carried over. If you need those fields, import the original CSV directly.
People vs organisations
Capsule separates people (individual contacts) and organisations (companies). An organisation record may not have its own email address. If you export organisations only, the result may have few or no email addresses. Export people for the most complete email list.
Free plan limits
Capsule's free plan has a contact limit (typically 250 contacts). The export feature is available on all plans. Extracting and counting unique email addresses gives you an independent check against Capsule's contact count.
Notes and case history
Capsule stores notes and case history linked to contacts. These are not included in a standard CSV export of contacts. If notes contain email addresses (e.g., "Also reachable at alt@example.com"), those addresses will not be captured through a contacts export. They would need to be exported or copied separately.
