How to Extract Emails from an OpenRefine Export

Export and import options vary by plan, permissions and product version. Check the platform’s current help documentation if a menu or format differs. Use only contact data you are authorized to process; an extracted address is not proof of marketing consent.

Why Extract from OpenRefine?

OpenRefine (formerly Google Refine) is a free, open-source tool for working with messy data. It runs locally on your computer and provides a browser-based interface for cleaning, transforming and reconciling datasets. OpenRefine is used by researchers, data analysts, librarians, journalists and anyone who needs to clean large or inconsistent datasets. It supports faceted browsing, clustering, cell transformations, regular expressions, reconciliation against external databases and undo/redo for all operations.

Extracting email addresses from OpenRefine data is useful in several scenarios.

After cleaning a messy dataset. If you imported a messy contact list into OpenRefine to clean it (removing duplicates, standardising formats, fixing typos), exporting and extracting gives you a clean email list.

After merging multiple datasets. If you used OpenRefine to merge contact data from multiple sources (different CRMs, spreadsheets, exports), extracting email addresses from the merged result gives you a deduplicated list.

After reconciliation. If you reconciled your data against external databases to validate or enrich records, the cleaned export may contain updated email addresses.

Preparing data for import. If you are preparing a dataset for import into a CRM or email marketing platform, extracting the email addresses separately helps verify the import.

How to Export from OpenRefine

OpenRefine allows you to export cleaned data in several formats.

Exporting a project

  1. Open OpenRefine in your browser (it runs locally at http://127.0.0.1:3333).
  2. Open the project containing the data you want to export.
  3. Click Export in the top right.
  4. Choose Comma-separated value (CSV), Tab-separated value (TSV) or Excel (.xlsx).
  5. OpenRefine generates the file and downloads it to your computer.

Export considerations

The export includes all rows and columns in the current project view. If you have applied filters or facets, only the matching rows are exported. Remove all filters before exporting if you want the complete dataset.

How to Extract the Email Addresses

  1. Go to bulkemailextractor.com.
  2. Select "Text and files."
  3. Upload the CSV, TSV or Excel file. Up to 25 MB per file, 100 MB per batch.
  4. Click "Extract emails."
  5. Review the results. Duplicates are removed automatically.
  6. Download as TXT for a plain list, CSV for a single-column spreadsheet, or CSV with sources.

Working with the Results

Import into a CRM or email platform

The extracted list from your cleaned OpenRefine data can be imported into any CRM or email marketing platform. Since the data was cleaned in OpenRefine, the quality should be higher than the original raw data.

Compare before and after cleaning

Extract email addresses from your original raw data and from the OpenRefine-cleaned data. Comparing the two lists shows how many email addresses were affected by cleaning (removed as duplicates, corrected, added through reconciliation).

Use as a verification baseline

If you cleaned email addresses in OpenRefine (standardising formats, removing obvious typos), the extracted list serves as a starting point for further verification through a dedicated verification service. See Best email verification services.

Things to Know

Column headers are not extracted

CSV, TSV and Excel column headers from OpenRefine exports are text labels, not email addresses, so they do not appear in the extracted results.

Contact data is not preserved

Email Extractor outputs email addresses only. Names, companies, addresses and all other columns from the OpenRefine export are not carried over.

OpenRefine runs locally

OpenRefine runs on your local computer, not in the cloud. Your data stays on your machine during the cleaning process. The export file is saved locally, and you upload it to Email Extractor for extraction.

Facets and filters

If you have active facets or filters in OpenRefine when you export, only the filtered rows are included in the export. Clear all facets and filters before exporting to get the complete dataset.

Undo/redo history

OpenRefine maintains a complete undo/redo history for every operation. The export reflects the current state of the data after all applied operations. Previous states can be restored before exporting if needed.

Large datasets

OpenRefine handles datasets of hundreds of thousands of rows. If your cleaned dataset is very large, the exported file may approach the 25 MB per-file limit for Email Extractor. Large files can still be uploaded as long as they are within the limit.

Data transformations

OpenRefine supports powerful data transformations using GREL (General Refine Expression Language) and Python/Jython expressions. If transformations modified email addresses (e.g., converting to lowercase, trimming whitespace, extracting email from a compound field), the transformed values are what gets exported and extracted.

Reconciliation

OpenRefine's reconciliation feature matches your data against external databases (Wikidata, corporate registries, etc.). If reconciliation added or corrected email addresses, those updated values are in the export.
